Job Summary
Support the administrative and leadership responsibilities of the Dean of Communication, English, and World Languages and/or Liberal Arts & Public Service. Oversee the daily operations and logistics for the areas in accordance with TCC’s mission, vision, and core values.
Essential Duties
Assist the Dean(s) in the daily operations of the schools and its departments, including but not limited to biweekly payroll approval, determines coding for full-time and adjunct faculty, FLAC, maintains the reassigned time lists and completes related status change forms; monitors course syllabi, attendance confirmation, and final course grade submission.
Serve as the CEWL and LAPS first point of contact for college-related requests of personnel in the school, answering questions, directing inquires as needed, troubleshooting, and working to develop solutions.
Responsible for entering/development of course schedules, faculty assignments, and coordinates classroom assignments.
Support Faculty Department Chairs and program directors in the hiring process by providing assistance with the TCC hiring process, guiding the necessary paperwork through HR’s systems, and assists with onboarding of new employees to the schools and the departments including the completion of status change forms for employees within the schools and the associated departments.
Responsible for administering and monitoring department budgets as assigned to support operations, projects, and grants as well as providing updates to Dean (s).
Supervise the ordering, tracking, and maintenance of technology, equipment, supplies, and materials for the schools and its departments. Serve as a liaison to the Campus Store in order to support the timely and accurate placement of orders of textbooks and materials for students.
Support the Dean(s) in developing and implementing new strategies, project management plans, faculty professional development events/programming for new or ongoing initiatives to include researching, compiling, and preparing statistical reports, requisitions, and other documents.
Schedules appointments, makes arrangements for conferences, meetings, and travel; maintains supervisors’ calendar.
Greets visitors, answers the telephone and provides information to callers/visitors or routes to appropriate person, places outgoing calls; develops and maintains content on school and department webpages.
Composes and prepares routine correspondence, types memorandums, reports and other documents; prepares various forms as directed such as purchase requisitions, personnel requisitions, etc.
Minimum Qualifications
Associate’s degree or equivalent education in Business Administration, Management, Communications, or a related field. Degree requirement may be substituted with equivalent work experience.
5 years of experience or training at the college or university level in Office administration, or an equivalent combination of training and secretarial experience.
Ability to work effectively as a team member.
Administrative experience in personnel, budget, and project management.
Philosophy compatible with those of a comprehensive urban community college.
Ability to organize daily work procedures and perform duties under one's own initiative with some supervisory guidance.
Excellent verbal and written communication skills; ability to interact effectively with others.
Preferred Qualifications
Work experience in a higher education academic environment.
Experience with Banner 9 & Microsoft Office 365.
