Essential Duties & Responsibilities
The Acquisition Manager supervises the acquisitions functions of Technical Services, including training and supervising assigned staff; placing orders for collection development; serving as liaison to vendors delivering materials; managing financial issues and working with the Finance Department on resolutions, receiving materials and paying invoices.
Location: Support Services Center, 1339 N Lansing Ave, Tulsa
Status: Full Time Exempt
Starting salary range: $4,717- $7075 monthly. Compensation commensurate with experience
Schedule: Monday through Friday, 8:00am to 5:00 pm, flexible with core hours between 9am and 4pm
Some additional responsibilities include:
- Managing staff to include approving schedules and time sheets, managing performance, revising procedures to improve efficiency, coaching in problem resolution, training on new technologies and processes;
- Orders, receives, pays invoices; including specialty orders, hard-to-find titles, credit card orders, and Summer Reading Program materials; works with vendors and the Finance Department to resolve billing issues;
- Collaborates with the Systemwide Products Director and Collection Management leadership staff to assist with project planning, offering expertise for the department and vendors;
- Serves as liaison to vendors, including addressing concerns, meeting with sales representatives and choosing vendors;
- Maintains fund balances, adding appropriations and adjusting funds, monitoring expenditures throughout year to find shortages or overages;
- Creates monthly External Funds report and provides information to Finance Department, Collection Development Librarians, and Resource Center Coordinators;
- Plans and manages fiscal close and opening the books for the new fiscal year. Collaborates with the Finance Department to provide all needed information to ensure consistency;
- Actively supports TCCL’s Equity, Diversity and Inclusion efforts, and the Library’s Be All In culture;
- Performs other duties as assigned.
Qualifications
- Ability to effectively supervisor, mentor/coach and motivate diverse staff.
- Intermediate keyboarding/typing skills and basic computer skills, including Excel, Word, Outlook, and the Internet
- Ability to learn relevant computer software programs, including vendor websites, database programs, and other automated library systems;
- Good interpersonal, communication, and organizational skills; good time management and ability to prioritize; strong detail orientation
- Solid knowledge of basic financial processes;
- Knowledge of library processes, procedures and operations, particularly Technical Services and acquisitions;
- Knowledge of collection building and maintenance processes and procedures;
Education & Experience
- Bachelor’s Degree required; three or more years’ experience working with ILS preferred;
- One or more years supervisory experience required;
- Or equivalent combination of technical training, education or experience.
- Experience working with third-party vendors preferred.
- Managers and supervisors hired/promoted after 5/1/2022 must complete the appropriate TCCLU Leadership Academy Certification Program within 18 months of starting the position, unless already certified/enrolled.
Physical Activity & Environmental Conditions
- Work occasionally requires stooping or bending. Occasional light lifting, such as three or four reams of paper, four or five books, or other materials (up to 20 pounds) may be required.
- There are no major sources of discomfort; work is essentially conducted in a normal office environment with acceptable lighting, temperature and air conditions
