PROGRAM COORDINATOR
Position Summary:
The Tucson Osteopathic Medical Foundation (TOMF) is seeking a full-time Program Coordinator to manage the day-to-day administration and continuity of the Foundation’s programs, events, and community activities.
TOMF’s Board of Trustees, committees, and Executive Director provide overall program direction, priorities, and oversight. The Program Coordinator is responsible for carrying that work forward - independently managing the communications, records, schedules, deadlines, logistics, and administrative details that keep programs running effectively.
This is a hands-on, primarily administrative position within a small, collaborative team. The ideal candidate is organized, dependable, tech-savvy, comfortable managing multiple priorities, and able to take ownership of routine responsibilities with limited supervision while knowing when to seek guidance.
Key Responsibilities
- Coordinate the day-to-day administration and logistics of TOMF programs, events, and community activities.
- Coordinate registration, speaker and attendee communications, materials, records, evaluations, and logistics for TOMF’s annual Southwestern Conference on Medicine.
- Coordinate medical student activities and proctor medical student examinations.
- Administer TOMF scholarship and grant processes, including applications, communications, records, committee materials, notifications, and follow-up.
- Coordinate physician outreach, membership activities, and community events and maintain related membership and contact records.
- Draft and distribute routine emails, correspondence, invitations, social media content, and other program communications.
- Create basic flyers, graphics, and program materials using established templates.
- Maintain organized program records, procedures, calendars, and files to support continuity of Foundation programs.
- Track deadlines, schedules, action items, and follow-up and ensure routine program responsibilities move forward without requiring day-to-day direction.
- Provide administrative support to TOMF committees and assist with Foundation-wide projects and activities as needed.
Qualifications:
- Bachelor’s degree or equivalent combination of education and relevant work experience.
- Dependable, flexible, resourceful, and willing to jump in where needed.
- At least two years of relevant administrative, program, event, nonprofit, education, or communications experience.
- Excellent organization, attention to detail, and written and verbal communication skills.
- Ability to independently manage multiple responsibilities, priorities, and deadlines.
- Strong technology skills and the ability to learn new systems quickly.
- Ability to maintain organized records and processes and communicate information clearly to others.
- Professional and comfortable working with physicians, students, volunteers, vendors, community partners, and organizational leadership.
Experience with Cvent, Wild Apricot, Microsoft Office, Canva, Zoom, event-registration or membership systems, nonprofit organizations, professional events, or medical education is helpful but not required.
Additional Requirements:
- Reliable transportation and cell phone are required. The position includes occasional early morning, evening, and weekend work for scheduled programs and events and requires the ability to lift up to 50 lbs.
