Production Coordinator
(Full-time)
The Production Coordinator will be an integral part of the production team and will manage a wide range of production activities for a dynamic live events and immersive entertainment production company. This position is based in Las Vegas, NV and will be onsite, hybrid and/or remote as business dictates.
Reporting to the Director of Production, the ideal candidate will be extremely organized, self-motivated, and tenacious in dealing with a large quantity of time critical requests, have a mix of production and technical experience, with special consideration to applicants with relevant entertainment/media industry and live event/show production experience.
Essential Duties and Responsibilities
- Collaborate with the production team to understand logistical requirements of the live and immersive experience.
- Create and maintain departmental contact sheets, vendor process tracking, design deliverables status reports, weekly production reports, meeting minutes and distribution as required.
- Organize, set and manage meeting requests and meeting calendars as required
- Support the hiring processes for the Production department including but not limited to: creation of job descriptions, review and tracking of applicants, scheduling interviews, managing online postings, creation of offer letters, on-boarding, notifications to payroll, etc.
- Support the creation of technical specification packages for the tender process based on designer’s works, the Technical Director’s narratives, scope and specification details. Assemble and distribute packages including: scope and statements of work documents, cutsheet packages, drawing packages by others, curate elements and equipment lists, and bid spreadsheet for all production elements (scenic, lighting, SFX, rigging, audio, projection, show control, etc.).
- Support the construction progress tracking, construction account processes, and general contractor processes as directed
- Manage and document a ROM and final bid process that provides detailed information for evaluation and selection.
- Distribute, track and prepare for analysis all contract, purchase and bid-related communication, documentation, bid costs sheets, RFI/RFP processes, meetings, and support processes from initiation through to award, install and acceptance testing
- Maintain a high-level production schedule based on input and direction from technical direction, construction and operations.
- In collaboration with Production and Finance, track production and construction budgets, confirmation of milestone completion, track payment of invoices, vendor contract and deliverables tracking, through contract completion.
- Interface online and in person with architects, engineers, production and design teams, vendors, hotel partners and services, consultants, as needed, to support and document ongoing activities and a fast-paced production and construction schedule.
- Assist with purchasing, warehousing and delivery protocols.
- Manage company file management system, structure and permissions for all production needs including vendor documentation, design documentation, production documentation, archival and filing.
- Assist in departmental organization and administration as required.
- All other duties as assigned.
Education/Experience/Training
Bachelor’s degree in related field or equivalent experience with 5-7 years of professional experience with live events/shows, with at least 3 years in a management role; must possess excellent planning, management and problem-solving capabilities.
- Strong knowledge of theatrical technology and themed environments
- Solid working knowledge of Microsoft applications (Microsoft Word, Excel, PowerPoint, Outlook, Teams); Additional knowledge of AutoCAD or other drawing programs is beneficial.
- Proven success and demonstrated ability in project and event management.
- 10-hour OSHA course required if not already holding proof of valid completion.

The position will require non-traditional hours operating in a dynamic, fast paced environment and will be expected to manage multiple projects simultaneously while demonstrating judgement on prioritization. Requires an energetic, detail-oriented self-starter and thoughtful coordinator who can work as a member of a team to solve problems. In addition, the ideal candidate possesses the following skills and is able to work in a drug-free environment and pass a chemical dependency drug test as required.
- Strong understanding of the implementation and operation of sound, lighting, projection, scenic, special effects systems, and other production equipment.

- Prior entertainment event production experience a must.
