We are seeking a reliable, professional, and highly organized Part-Time Front Desk / Administrative Assistant to join our fast-paced private psychiatric practice. As the first point of contact, you will help create a welcoming and supportive atmosphere while managing important administrative tasks with accuracy, confidentiality, and professionalism. Duties
- Answer and manage a multi-line phone system promptly, courteously, and professionally.
- Schedule, confirm, and coordinate patient appointments while maintaining accuracy and confidentiality.
- Greet patients, visitors, and staff with warmth and professionalism, creating a positive first impression.
- Process prescription requests and route messages appropriately to clinical staff.
- Enter and update patient information in Electronic Health Record (EHR) and Practice Management (PM) systems.
- Accurately collect payments and apply them to patient accounts in the practice management system.
- Assist with document management, data entry, filing, and general clerical support.
- Use Microsoft Office applications for routine administrative tasks and office communication.
- Maintain a clean, organized reception area and ensure office supplies are stocked and accessible.
- Communicate confidently and compassionately with patients while protecting privacy and confidentiality.
- Work collaboratively as part of a team and remain flexible in a fast-paced clinical office environment.
Qualifications
- Proven experience in administrative roles with strong clerical skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer literacy
- Previous office experience handling multi-line phone systems and front desk operations preferred
- Excellent organizational skills with the ability to prioritize tasks efficiently in a busy environment
- Ability to manage time effectively while multitasking across various responsibilities
