What are the responsibilities and job description for the TRT CLINIC OPERATIONS & GROWTH MANAGER position at Truly Restored Testosterone?
TRT CLINIC OPERATIONS & GROWTH MANAGER
Build It. Run It. Grow It.
Location: Rexburg, Idaho
Business: New Telehealth TRT & Men’s Health Company
Position: Full-Time
Compensation: Competitive, based on experience and demonstrated ability
Reports Directly To: Ownership
THIS IS NOT A NORMAL OFFICE JOB.
We are building a new healthcare company from the ground up, and we are looking for the person who will help make it work.
This position is for someone who is organized, driven, extremely dependable, comfortable with technology, excellent with people, and capable of taking ownership without needing to be told what to do every five minutes.
You will not simply be answering phones and scheduling appointments.
You will be responsible for helping build the operating engine of the business.
We intend to grow this company to hundreds of members and eventually beyond. That means we need someone who can think like an owner, work like an operator, and understand that the details matter.
If you need a job where someone hands you a list every morning and tells you exactly what to do, this is probably not the job for you.
If you see a problem and your first thought is, “How do we fix this?” rather than “Whose job is that?”, keep reading.
THE ROLE
We are looking for an exceptional TRT Clinic Operations & Growth Manager to take ownership of the day-to-day business operations of our growing telehealth TRT company.
You will become the central point connecting:
Leads → Education → Enrollment → Labs → Scheduling → Provider → Treatment → Follow-Up → Repeat Labs → Retention
Your job is to make sure nothing falls through the cracks.
The provider will be responsible for the clinical side of patient care.
You will be responsible for making the business side run exceptionally well.
You will help build the systems, processes, communication, follow-up, and accountability necessary to turn a startup into a scalable company.
WHAT YOU WILL OWN. PATIENT JOURNEY & OPERATIONS
You will oversee the operational side of the entire patient experience.
This includes:
- Responding to new leads
- Following up with prospective patients
- Educating potential members about the program
- Helping qualified prospects understand pricing and enrollment
- Coordinating onboarding
- Scheduling consultations
- Coordinating laboratory testing
- Tracking whether labs have been completed
- Making sure patients are prepared for appointments
- Coordinating communication between patients and providers
- Tracking follow-up requirements
- Monitoring when patients are due for repeat laboratory testing
- Maintaining accurate patient records
- Managing membership-related communication
- Helping prevent patients from falling through the cracks
- Following up with inactive or incomplete leads
- Identifying operational bottlenecks
- Creating systems to eliminate recurring problems
The goal is simple:
Every patient should know what happens next.
2. LEAD MANAGEMENT & CONVERSION
We will generate leads through multiple channels.
You will be responsible for making sure those leads are properly handled.
You will:
- Respond quickly to new inquiries
- Follow up consistently
- Track every lead
- Understand where each lead is in the process
- Identify why leads are not converting
- Improve follow-up processes
- Help develop scripts and communication systems
- Track conversion rates
- Report on lead sources
- Identify which marketing efforts are producing actual members
- Work with ownership to improve the sales process
You will not be expected to pressure people into healthcare decisions.
You will be expected to communicate clearly, professionally, confidently, and consistently.
3. MEMBERSHIP MANAGEMENT
Our business is built around a recurring membership model.
That means retention matters just as much as acquisition.
You will help oversee:
- New member enrollment
- Monthly membership status
- Payment issues
- Cancellations
- Patient communication
- Follow-up
- Lab reminders
- Appointment reminders
- Membership renewals
- Patient satisfaction
- Retention
- Re-engagement of former or inactive members
You should naturally think in terms of:
“How do we keep great patients engaged and make the experience so organized that they want to stay?”
4. SYSTEMS & TECHNOLOGY
We are building this business to eventually manage hundreds of members.
We cannot do that with spreadsheets, sticky notes, and someone's memory.
You will help build and maintain systems for:
- CRM
- Patient communication
- Scheduling
- Membership billing
- Lead tracking
- Automated reminders
- Laboratory tracking
- Follow-up
- Reporting
- Marketing
- Referral tracking
- Internal task management
You should be comfortable learning new software quickly.
If you don't know how to use a particular system today, that's okay.
If you're the type of person who figures it out, that's what matters.
5. MARKETING & BUSINESS GROWTH
This is a growth position.
You will work with ownership to help develop and execute marketing strategies including:
- Social media campaigns
- Facebook advertising
- Local marketing
- Referral partnerships
- Gym partnerships
- Chiropractic partnerships
- Community outreach
- Educational campaigns
- Lead-generation campaigns
- Follow-up campaigns
- Patient referral programs
You will help track what actually works.
We don't want to spend money simply because something "sounds like good marketing."
We want to know:
How many leads did it generate?
How many consultations resulted?
How many memberships resulted?
What did each new member cost us?
You will help bring that level of accountability to the business.
6. REFERRAL & AFFILIATE RELATIONSHIPS
We intend to build relationships with businesses and organizations that already have access to the type of patients we serve.
You may help manage relationships with:
- Chiropractors
- Gyms
- Fitness organizations
- Local businesses
- Community organizations
- Other referral partners
Responsibilities may include:
- Outreach
- Follow-up
- Partner education
- Tracking referrals
- Coordinating marketing materials
- Maintaining partner communication
- Reporting referral activity
- Identifying new partnership opportunities
You will help turn relationships into organized, measurable referral channels.
7. PROVIDER SUPPORT
You will work closely with the medical provider.
Your responsibility is not to practice medicine.
You will never independently diagnose, prescribe, interpret medical results for patients, or make clinical treatment decisions outside your legal scope and assigned responsibilities.
Instead, you will make sure the provider has an organized operation around them.
That means:
- Patients are scheduled
- Information is organized
- Labs are available
- Follow-ups are tracked
- Communication is handled
- Administrative problems are solved
- The provider's time is protected
The provider should be able to focus on medicine instead of chasing paperwork and unfinished tasks.
8. METRICS & ACCOUNTABILITY
You will be expected to know what is happening inside the business.
You should be comfortable tracking things like:
- Number of new leads
- Lead response time
- Consultation bookings
- Consultation completion
- Conversion rate
- New memberships
- Monthly recurring revenue
- Membership retention
- Cancellations
- Lead source
- Referral activity
- Marketing costs
- Cost per lead
- Cost per acquisition
- Patient follow-up completion
- Outstanding tasks
- Upcoming laboratory requirements
We want a person who looks at numbers and asks:
“What are these numbers telling us?”
9. BUILDING THE SYSTEM
One of the most important parts of this job will be building processes that allow the company to grow without chaos.
You will help create:
- Standard operating procedures
- Checklists
- Scripts
- Workflows
- Follow-up sequences
- Patient onboarding systems
- Referral systems
- Marketing processes
- Administrative procedures
- Internal accountability systems
The expectation is not that everything will be perfect on day one.
The expectation is that we continually make the business better.
If you find yourself doing the same task repeatedly, you should eventually be asking:
“Can we build a system that makes this easier?”
WHO WE ARE LOOKING FOR
We are looking for someone who is:
HIGHLY ORGANIZED
You can manage a large number of moving pieces without losing track of important details.
PROACTIVE
You don't wait until someone tells you something is wrong.
You notice it.
You address it.
You communicate it.
You solve it.
TECHNOLOGY-COMFORTABLE
You can learn software, CRM systems, scheduling platforms, communication tools, spreadsheets, and new technology without being intimidated.
EXCELLENT WITH PEOPLE
You can communicate professionally with patients, providers, business owners, referral partners, and vendors.
DETAIL-ORIENTED
A missed follow-up can mean a lost patient.
A missed lab reminder can create a serious operational problem.
Details matter.
ACCOUNTABLE
When something goes wrong, your first instinct isn't to find someone to blame.
It's to figure out what happened and how to prevent it from happening again.
CONFIDENT
You will communicate with adults who may have questions about healthcare, money, treatment, scheduling, and membership.
You need to be comfortable having those conversations.
DRIVEN
This company is going somewhere.
We need someone who wants to build something, not simply clock in and clock out.
THIS POSITION WILL REQUIRE
- Excellent communication skills
- Strong organizational ability
- Professional phone and written communication
- Strong computer skills
- Ability to learn new technology quickly
- Ability to manage competing priorities
- Ability to work independently
- Ability to follow through
- Ability to maintain confidentiality
- Ability to handle sensitive patient information appropriately
- Strong problem-solving skills
- Ability to work in a fast-moving startup environment
- Ability to take constructive criticism and implement it
- Ability to recognize when something needs to be escalated
- Strong attention to detail
Healthcare, medical office, sales, CRM, marketing, or business operations experience is helpful but not necessarily required for the right person.
We would rather hire an exceptional operator who can learn healthcare-specific systems than someone with the perfect résumé who cannot take ownership.
WHAT SUCCESS LOOKS LIKE
Six months into this position, we want to be able to say:
“If something needs to happen, it happens.”
Leads are followed up with.
Patients know what they're supposed to do.
Appointments are organized.
Labs are tracked.
Providers are prepared.
Memberships are managed.
Marketing is measurable.
Referral partners are communicating.
Problems are identified early.
The owner doesn't have to constantly ask:
“Did this get done?”
Because you already know.
THIS IS A STARTUP
There will be days when your job description changes.
There will be problems nobody has solved before.
There will be software that doesn't work the way we want.
There will be patients who need extra attention.
There will be marketing campaigns that fail.
There will be things that need to be built from scratch.
That is part of the opportunity.
We are not looking for someone who needs everything figured out before they can move.
We are looking for someone who can help figure it out.
THE PERSON WHO WILL THRIVE HERE
You might be a great fit if you are the person everyone comes to when something needs to get done.
You organize the family vacation.
You build the spreadsheet.
You figure out the new software.
You make the phone call.
You follow up when nobody else does.
You notice the thing everyone else missed.
You don't need constant supervision.
And when you don't know how to do something, you figure it out.
That is the person we want.
THE PERSON WHO WILL NOT THRIVE HERE
This probably isn't the right position if:
- You need constant direction
- You don't like making decisions
- You don't like talking to people
- You struggle with organization
- You routinely forget follow-ups
- You dislike technology
- You don't handle changing priorities well
- You want a job where you simply complete assigned tasks
- You aren't comfortable being held accountable for results
- You aren't willing to learn
- You believe “that's not my job” is an acceptable answer
We would rather be very clear about this now than hire the wrong person.
THE OPPORTUNITY
This is an opportunity to get in on the ground floor of a healthcare company that we intend to build into a substantial operation.
The right person will have an opportunity to grow with the company and take on significantly more responsibility as we expand.
You won't just be an employee completing tasks.
You will help build the system that allows this company to grow.
If you are exceptional, your responsibility will grow.
Your compensation and role can grow with it.
HOW TO APPLY
We are not looking for the person with the prettiest résumé.
We are looking for the person who can actually do the job.
When applying, tell us:
- Why do you believe you would be good at running the operational side of a growing business?
- Tell us about a time you had to take ownership of a problem without being told what to do.
- What is an example of something you have built, organized, improved, or managed?
- What technology or software have you learned quickly?
- Why does this particular position interest you?
Most importantly:
Tell us something you have accomplished that demonstrates you are a person who gets things done.
We are looking for someone who wants to build something.
If that's you, we want to hear from you.
