Job Overview

We are seeking a resolute, meticulous, and experienced HR Generalist to join our team. In this role, you will be responsible for managing a broad range of human resources functions, including payroll administration, employee onboarding, recruitment, workers’ compensation, unemployment claims, employee relations, compliance, leave administration, policy implementation, and HR support services.

The ideal candidate will possess strong organizational skills, professionalism, discretion, sound judgment, and a comprehensive understanding of federal, state, and local employment laws and HR best practices. This position will support daily HR operations while ensuring compliance with company policies, operational requirements, government regulations, and contractual obligations.

The HR Generalist will be assigned to the Corporate Office located in San Jose, California, and will support company operations, management, and employees across multiple projects and locations as needed.


Essential Duties and Responsibilities

-  Employee Relations & Disciplinary Action

  • Investigate employee complaints, misconduct, policy violations, and workplace concerns by gathering facts, interviewing involved parties, and documenting findings. 
  • Prepare and issue disciplinary actions, counseling notices, performance improvement plans (PIPs), corrective action documentation, and termination paperwork in accordance with company policies and applicable laws. 
  • Maintain confidentiality and professionalism while addressing sensitive employee matters. 
  • Assist management in resolving employee relations issues in a fair, consistent, and legally compliant manner. 

-  Leave Administration

  • Process and track employee leave requests, including FMLA, CFRA, ADA accommodations, paid sick leave, workers’ compensation leave, military leave, and other protected leave programs. 
  • Coordinate with payroll and benefits administrators regarding leave-related pay adjustments and benefits continuation. 
  • Maintain accurate leave documentation, certifications, and return-to-work records.  

-  Recruitment & Hiring

  • Create, revise, and publish job descriptions and recruitment postings consistent with operational and legal requirements. 
  • Coordinate with department managers regarding staffing needs, hiring requirements, and recruitment strategies. 
  • Review applications and resumes to identify qualified candidates. 
  • Conduct phone screenings, coordinate interviews, and support candidate selection processes. 
  • Assist with onboarding, orientation, and new hire documentation. 

-  OSHA Reporting & Safety Compliance

  • Maintain OSHA logs and workplace injury documentation in accordance with federal and state regulations. 
  • Coordinate safety training initiatives and support workplace safety compliance efforts. 
  • Assist with OSHA inspections, audits, incident reporting, and corrective action follow-up. 

-  Payroll Administration

  • Maintain payroll records, employee deductions, benefits adjustments, and supporting payroll documentation. 
  • Coordinate with payroll personnel to support accurate and timely payroll processing. 
  • Respond to employee payroll inquiries and assist in resolving discrepancies. 

 - Onboarding & Employee Records

  • Prepare employment documents, onboarding packets, offer letters, and new hire paperwork. 
  • Ensure onboarding processes comply with company policy and applicable employment laws. 
  • Maintain organized, accurate, and confidential personnel files and HR records in accordance with record retention requirements. 

-  Workers’ Compensation Administration

  • Coordinate workers’ compensation claims and communicate with insurance carriers, medical providers, and employees regarding claim status and return-to-work processes. 
  • Ensure timely claim reporting and compliance with applicable regulations. 
  • Monitor claim activity and assist with modified duty coordination when applicable. 

-  Unemployment Claims Management

  • Responding to unemployment claims and requests for information from state agencies. 
  • Prepare documentation and attend hearings when necessary. 
  • Ensure timely and accurate responses in compliance with applicable regulations. 

 - HR Compliance & Policy Administration

  • Assist with maintaining compliance with applicable federal, state, and local labor and employment laws. 
  • Support implementation and administration of HR policies, procedures, and employee handbook provisions. 
  • Assist with audits, investigations, reporting obligations, and compliance reviews. 
  • Maintain confidentiality of employee, payroll, medical, and company information. 


Work Schedule

  • This is a full-time Monday through Friday position. 
  • Standard working hours are 8:00 AM to 5:00 PM; however, work schedules may vary based on operational requirements and business needs. 
  • Occasional evenings, weekends, holidays, emergencies, or extended-hour work may be required when operations dictate. 


Travel Requirements

  • Occasional travel may be required based on operational requirements, training needs, project assignments, audits, investigations, or company business. 


Work Authorization

  • Employees are prohibited from performing unauthorized work outside assigned schedules or duties unless expressly approved in advance by Operations or Company Management. 


Qualifications

  • Bachelor’s degree in human resources, Business Administration, or a related field preferred. Equivalent education, training, and relevant work experience may be considered. 
  • Minimum of five (5) years of progressively responsible HR Generalist experience preferred. 
  • Strong working knowledge of federal, California, and multi-state employment laws and HR best practices. 
  • Experience with payroll systems, HRIS platforms, benefits administration, employee relations, and compliance management preferred. 
  • Excellent communication, organizational, problem-solving, and people skills. 
  • Ability to maintain confidentiality and exercise discretion in handling sensitive matters. 
  • Ability to manage multiple assignments, prioritize workload, and meet deadlines in a fast-paced environment. 
  • Proficiency with Microsoft Office applications and HR/payroll software platforms preferred. 


Preferred Qualifications

  • Professional HR certification such as SHRM-CP, SHRM-SCP, PHR, or SPHR preferred. 
  • Experience managing workers’ compensation claims, unemployment hearings, compliance audits, and multi-state employment matters preferred. 


Work Environment

  • The HR Generalist position is based at the Corporate Office in San Jose, California. 
  • This is a full-time Monday through Friday position with standard working hours of 8:00 AM to 5:00 PM. Occasional evening, weekend, travel, remote work, or extended-hour assignments may be required based on operational needs.

Salary : $95,000 - $105,000
