SUMMARY: In conjunction with the Youth Development and Education Director, the Youth Grants and Compliance Coordinator will support the Youth Division by managing grants, contracts, and the division's related grant finances. The position is responsible for ensuring compliance with grant financial and administrative policies including records management, preparing reports, and monitoring compliance measures.

ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following, although other tasks and duties may be assigned.

  • Understand and assist in managing all youth grants
  • Assist with the preparation of grant proposal budgets, division operating budgets and division operating plans;
  • Ensure ongoing compliance with state licensing regulations, health and safety standards, and accreditation requirements for child care operations.
  • Manage and oversee contracts with partners, vendors, and service providers, ensuring alignment with organizational policies and legal requirements.
  • Ensure all expenses are charged to the correct income source and appropriate documentation supports all expenses;
  • Ensure all spending aligns with the approved budget, spending is timely throughout the grant cycle, and spending aligns with the TrueNorth Purchasing and Procedures Manuals.
  • Support the preparation of grant financial reports for OST
  • Update and maintain a variety of records related to grant funds in the organization's finance system;
  • Assist with budget expenditure oversight and provide required financial reports to the Director of Youth Development and Education and/or TN Finance Team;
  • Exercise discretion and judgement in developing, analyzing and interpreting reports that reflect the program's outcomes;
  • Understand and implement the terms and requirements of grant funding for Summer Blast and TrueMentors including the MiLEAP OST and Fremont Area Community Foundation grant(s)
  • Implement annual program goals and objectives to correspond with the grant requirements, current school environment, and annual measurable outcome benchmarks.
  • Assist the Program Director with the development of grant and site budgets and other budget data.
  • Provide administration and direction to support the out-of-school time program including the development of program activities and activity units.
  • Establish partnerships with the school site and partner agencies.
  • Understand and assist with additional OST responsibilities such as licensing, professional development, and site logistics.

General

  • Complies with agency policies on the security and protection of confidential information
  • Recommends and/or implements technology upgrades or system improvements that will optimize efficiency and minimize duplication of effort
  • Maintain all program property and equipment
  • Utilize appropriate technology including but not limited to Microsoft Office, Outlook, Excel, and Publisher
  • Attends all mandatory meetings, conferences and trainings.
  • Travel to various sites and TrueNorth Community Services.
  • Other duties as assigned.
  • Maintain regular and consistent attendance and punctuality.

SUPERVISORY RESPONSIBILITIES:

This position has no supervisory responsibilities.

EDUCATION AND QUALIFCATIONS:

  • Associate's degree in accounting and/or a minimum of 2 years' experience working in an accounting-related field with a minimum of 1 year of grant experience. Advanced Excel skills are preferred.
  • Valid Michigan Driver's License and the ability to travel to and from sites on a regular basis.

The primary workspace is located at TrueNorth Community Services, 6308 S. Warner Avenue, Fremont, MI While performing some of these duties, the employee is expected to work:

  • On site at diverse school site locations requiring driving to site locations when directed for meetings and other assigned duties.
  • Onsite work will be in an office/workspace with a moderate noise level for an office setting and participant, child, and staff distractions.

Other work environment issues include:

  • This position may need to travel for various MDE, Licensing, Professional Development, or other business-related meetings, trainings, and conferences.
