What are the responsibilities and job description for the Scheduling Assistant position at TrueLink Technologies?
Scheduling Assistant
Keeping Schedules on Track
A busy office can have several appointments, requests, and changes happening at once. Our Orlando team is looking for a Scheduling Assistant who can bring structure to the day by keeping bookings organised, confirming arrangements, and making sure no important details get missed.
You’ll be the person helping turn a changing list of commitments into a clear, workable schedule. From checking availability to handling last-minute changes, you’ll help colleagues stay informed and ensure appointments are properly coordinated.
We’re looking for someone who plans ahead, communicates clearly, and pays attention to the small details that help prevent scheduling problems.
A typical week could involve:
- Arranging appointments and updating shared calendars
- Checking availability before confirming bookings
- Sending appointment confirmations by phone or email
- Recording cancellations and rescheduled appointments
- Informing relevant team members about schedule changes
- Reviewing daily schedules for potential conflicts
- Following up on outstanding booking requests
- Maintaining accurate appointment records
- Responding to routine scheduling enquiries
- Flagging time-sensitive requests that need attention
Monday to Friday
The position is full-time and office-based in Orlando. You’ll work alongside the wider team to coordinate appointments, maintain accurate schedules, and ensure everyone has the information they need to plan their day.
Hours: 8:30am–5:00pm
Schedule: Monday–Friday
Employment: Full-time, permanent
Location: Orlando, FL
Pay: $18–$21 per hour
Previous scheduling experience is useful, but it isn’t the only background we consider.
People coming from reception, administration, customer support, hospitality, retail and other organised, customer-facing positions may have transferable skills that suit this role.
You’ll need good organisational skills, basic computer confidence, attention to detail, and the ability to communicate updates clearly. Being comfortable using calendars, email, and internal systems will also be important.
Training is provided on internal systems and scheduling procedures.
