What are the responsibilities and job description for the Administrative Assistant position at Trueline?
About the Role
As an Administrative Assistant, you will be a key part of our operations team, supporting projects, leadership, and day-to-day business functions. You'll handle administrative tasks, manage communication, help keep projects organized, and ensure nothing falls through the cracks.
From email management to coordinating with subcontractors, your work will directly support the efficiency and success of our jobs.
At times, you may also assist with general administrative duties such as phone support, document filing, or light front-desk responsibilities.
Your Day-to-Day
- Manage inboxes and calendars; schedule meetings and track follow-ups
- Support project operations: organize job folders, pull POs, collect COIs
- Update tasks and project boards
- Assist with QuickBooks duties (upload bills, match receipts, prepare invoice drafts)
- Maintain CRM activity and follow-ups
- Coordinate with vendors and subcontractors (quotes, scheduling, confirmations)
- Draft and send professional client communication and status updates
- Perform general administrative duties as needed (phones, scanning, filing, mail handling)

- Some experience with: Quickbooks, CRM and Project Management tools.
- Profiencent in Google Workspace / Microsoft Office
- Administrative experience in construction or operations is a plus
- Reliable, professional, and trustworthy
