- Answer multi-line phone systems efficiently, directing calls accurately and professionally.
- Manage appointment scheduling and calendar organization.
- Perform data entry tasks with high accuracy, maintaining organized filing systems both digitally and physically.
- Handle clerical duties such as photocopying, proofreading documents, and preparing correspondence with excellent attention to detail.
- Support office management activities including inventory tracking, filing, and maintaining office supplies.
- Provide customer support by addressing inquiries via phone or email, ensuring clear communication and positive client interactions.
Qualifications
- Proven experience in office administration or reception roles, preferably with office management or clerical experience.
- Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, spreadsheets, and data entry software.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
- Exceptional phone etiquette and communication skills; bilingual abilities are a plus for diverse client interactions.
- Familiarity with multi-line phone systems, scheduling software, and basic bookkeeping is highly desirable.
- Demonstrated ability to handle confidential information discreetly while providing outstanding customer service.
- Prior experience as a medical or dental receptionist or personal assistant is advantageous but not required.
