Position Overview: Clinical Administrative Assistant a dual-function role supporting both executive leadership and front desk operations. This individual will serve as the first point of contact for patients and visitors while also providing high-level administrative support to leadership.
The ideal candidate is highly organized, professional, discreet, and eager to grow as the organization expands.
ROLE DETAILS
Location: Dallas, TX (Onsite)
Status: Full-Time
Classification: Hourly, Non-Exempt
Benefits: Eligible after 90 days
Reporting To: Clinic Operations Manager
Target Start Date: As soon as possible
Key Responsibilities:
- Serve as the primary point of contact for patients, visitors, and incoming calls, ensuring a professional and welcoming front desk experience
- Manage patient communication, appointment scheduling, and front desk operations
- Support executive leadership with calendar management, scheduling, and coordination
- Handle supply ordering, inventory tracking, and vendor communication for office and clinical supplies
- Maintain accurate administrative records, files, and documentation
- Provide general administrative and operational support to leadership as needed
- Maintain strict confidentiality and discretion in all patient and organizational communications
- Support HIPAA compliance in all patient-facing and administrative functions
- Assist with onboarding documentation and new hire logistics as the organization grows
- Adapt responsibilities and take on expanded duties as NeuroBridge scales
Required Qualifications:
- High school diploma required; associate degree or higher preferred
- 2 years of administrative or front desk experience
- Medical Assistant certification (CMA or RMA) strongly preferred
- Experience in a clinical or healthcare setting strongly preferred
- Strong organizational skills with the ability to manage multiple priorities
- Proficiency with Microsoft Office Suite, scheduling systems, and general office technology
- HIPAA awareness training or willingness to complete upon hire
- High level of professionalism and discretion in a clinical environment
- Strong written and verbal communication skills
Preferred Qualifications:
- Experience with EMR or clinical scheduling software
- Experience supporting executive-level leadership in a clinical or healthcare organization
- Bilingual candidates encouraged to apply
