Position Summary
The Sales Coordinator is responsible for keeping sales activities organized, supporting business development efforts, and ensuring an exceptional customer experience from initial contact through project handoff.
Essential Duties & Responsibilities
Sales Support
- Prepare proposals, presentations, and other customer-facing documents for the design and estimating teams.
- Track RFP’s and maintain bid calendars to ensure deadlines are met.
- Maintain accurate customer records, opportunities, and activities within the CRM system.
- Coordinate communication between Sales, Estimating, and clients.
- Make changes to client contracts based on guidance from a manager.
- Call clients and channel partners to request information pertaining to bids.
- Perform inside sales activities, including lead qualification and follow-up.
Client Relationship Management
- Maintain regular communication with existing clients to strengthen relationships and identify additional sales opportunities.
- Respond promptly to customer inquiries and direct requests to the appropriate team members.
- Assist in customer retention efforts by providing excellent service and proactive follow-up.
- Help ensure customer satisfaction throughout the sales process.
Administrative Responsibilities
- Monitor proposal and bid submissions to ensure timely completion.
- Assist with organizing customer events, trade shows, and networking opportunities.
- Support additional sales and marketing initiatives as assigned.
Qualifications
- Bachelor’s degree preferred; equivalent work experience considered.
- 2 years of experience in sales support, inside sales, or a related role.
- Strong organizational and time management skills with the ability to manage multiple priorities.
- Excellent verbal and written communication skills.
- Strong customer service orientation and relationship-building abilities.
- Proficiency with Microsoft Office (Outlook, Excel, Word, PowerPoint).
- Microsoft Dynamics experience preferred.
- Experience using CRM software is preferred.
- Self-motivated with a proactive approach to generating and supporting sales opportunities.
Preferred Skills
- Experience coordinating project bids or proposals.
- Experience working in construction, technology integration, AV, low voltage, or related industries is a plus.
- Ability to work independently while collaborating effectively with cross-functional teams.
- Strong attention to detail and follow-through.
Physical Requirements
- Prolonged periods of sitting and working on a computer.
- Occasionally lift up to 20 pounds.
- Ability to travel locally for client meetings or company events as needed.
