Trade Show Coordinator
Assists Senior Project Managers and Production Manager with billing/estimates, quotes, and research to complete proposals and then prepares orders for processing the sale by performing the following duties.
Responsibilities
Assists Senior Project Managers with all needs pertaining to a project from beginning to end. Project tasks may include the preparing and processing of:
- quotes and creates proposals
- production preparation requests
- installation and dismantle arrangements
- service requests
- purchase orders
- return authorizations
- order changes/revisions
- internal requests to complete projects and orders
- structural design requests
- exhibit management program proposals
- art grids
- rental requests
- Adheres to production schedule to meet deadlines.
- Sources materials and orders from multiple vendors- includes new product options and vendor relationships.
- Inquires and confirms product availability and lead-time with outside vendors and completes appropriate internal paperwork for outside vendor purchases.
- Assists with shipments and freight notifications.
- Research outside vendors and maintains sales department vendor files.
- Uses company software(s) to organize, track all orders, projects and assignments.
- Participates in company meetings.
- Assists with marketing functions as requested by the CEO.
- Assists with seminars as requested by Sales Manager.
- Participates actively with customer demos, previews, and exhibit preparation as needed.
- Monitors account status reports and take corrective action if needed.
- Provides other areas of company support as needed.
Qualifications
- Excellent customer service skills.
- Ability to meet tight deadlines on multiple projects.
- Excellent organizational and computer skills.
- Excellent communication skills with the ability to speak effectively with customers and internal teams via face-to-face, via emails, virtually, etc.
- Ability to perform basic calculations, including percentages, proportions, measurements, percentages, commissions, and basic geometry.
- Ability to solve practical problems and interpret instructions presented in written, oral, diagram or schedule formats.
- Ability to apply concepts of basic algebra and geometry.
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
- Ability to visualize 3D and follow instructions for assembly and packaging.
- Self-driven, detail oriented and excellent time management skills.
Technical Skills
Proficient: Microsoft Word, Microsoft Excel, Microsoft Outlook.
Education and Experience
- High School Diploma or GED.
- One (1) year related experience and/or training; or equivalent combination of education and experience.
Certificates and Licenses
- Valid driver's license and excellent driving record.
