Responsibilities
- Manage and coordinate all scheduling needs, including appointments, meetings, and events, ensuring optimal time management for staff and clients
- Oversee front desk operations, greeting visitors professionally and handling multi-line phone systems with excellent phone etiquette
- Maintain accurate records through data entry, filing, and document proofreading to support administrative functions
- Utilize software tools such as Microsoft Office, Google Workspace, and CRM for daily tasks including calendar management and bookkeeping
- Support office management duties such as mail handling, and maintaining a clean, organized workspace
- Provide exceptional customer support by addressing inquiries promptly and courteously via phone or email
- Assist with clerical tasks like typing reports, managing client records, and supporting personal assistant responsibilities as needed
Experience
- Proven office experience with strong organizational skills and attention to detail
- Familiarity with multi-line phone systems, front desk procedures, and professional phone etiquette
- Experience with bookkeeping software such as Buildertrend or other CRM's and proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members, but not required.
- Demonstrated ability to manage calendars efficiently using digital tools like Google Workspace or similar platforms
- Previous clerical or administrative experience in a fast-paced environment is preferred
- Strong computer literacy combined with excellent time management skills to prioritize tasks effectively
