This hands-on role supports our Project Managers and Field Operations teams to ensure projects are executed seamlessly—from planning through installation.

The ideal candidate for this role is a highly organized, proactive, and dependable administrative professional with experience supporting technical, construction, or engineering projects. You’re the type of person who naturally creates order out of chaos, follows through on every detail, and loves helping a team succeed.

 

What You’ll Be Doing

As a Project Administrator, you’ll play a vital role in coordinating the moving parts that make our projects successful—providing logistical, documentation, and communication support to both Project Managers and Field Operations.

Project Administration & Documentation

  • Maintain organized records for expenses, safety documentation, and startup materials.
  • Support Project Managers with document control, data entry, and tracking deliverables.
  • Track project costs and expenses in real time to support accurate project P&L reporting.
  • Prepare and submit safety documentation both internally and externally.
  • Distribute operation and maintenance (O&M) manuals and startup materials to customers after site visits.

Field Operations Coordination

  • Support the Field Operations team with scheduling, site logistics, and project tracking.
  • Coordinate rental equipment needs, including sourcing, arranging delivery/pickup, and tracking.
  • Assist with purchasing, issuing purchase orders, and managing shipping logistics for materials and parts.
  • Maintain the Field Operations calendar, project milestones, and pipeline tracking.
  • Collect and distribute daily field reports and logs, ensuring all updates reach the right stakeholders.
  • Act as the communication bridge between field crews and the home office, ensuring issues are addressed quickly.

Customer & Vendor Communication

  • Coordinate with contractors, operators, and vendors for site work and equipment delivery.
  • Facilitate return shipping and materials reconciliation after project completion.
  • Assist with aftermarket parts orders, submittal packages, and follow-up documentation.

Team Support & Organization

  • Participate in daily or weekly team check-ins to ensure alignment and progress tracking.
  • Proactively identify and communicate scheduling or logistical challenges to leadership.
  • Maintain organized project files, reports, and to-do lists to keep tasks on track.
  • Support internal communications by recording notes, drafting emails, and preparing meeting summaries.

 

What You Bring

  • Associate’s or Bachelor’s degree preferred in Business Administration, Project or Construction Management, Engineering, or a related field. Equivalent experience will be considered.
  • 2–5 years of experience in project coordination, administrative support, or operations.
  • Strong organizational and multitasking skills with impeccable attention to detail.
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook); experience with project tracking tools preferred.
  • Excellent communication skills—clear, professional, and proactive across teams.
  • Familiarity with construction, engineering, or field service environments a plus.
  • Ability to work independently and take initiative while remaining highly dependable.
  • A positive, “get-it-done” attitude with a focus on teamwork and follow-through.

 

What We Offer

Triplepoint offers a competitive compensation package, with a salary range of $70,000–$85,000 (depending on experience), full benefits including 401k, bonus potential, and a vacation and holiday package.
