Position Summary
The Executive Assistant (EA) provides high-level administrative support to senior leadership, ensuring efficient business operations and enabling executives to focus on strategic priorities. This role requires exceptional organization, communication, professionalism, and discretion, as well as the ability to anticipate needs and manage competing priorities in a fast-paced environment.
Key Responsibilities
Executive Support
- Manage executive calendars, appointments, meetings, and travel arrangements, including itineraries and logistics.
- Prepare, edit, and proofread correspondence, presentations, reports, and meeting materials.
- Screen and prioritize emails, calls, and requests; respond on behalf of the executive when appropriate.
- Maintain confidentiality of sensitive information at all times.
Meeting & Project Coordination
- Plan and coordinate internal and external meetings, including agenda preparation, minutes, follow-ups, and action tracking.
- Support cross-functional initiatives by helping with project timelines, research, documentation, and coordination.
- Assist with board meetings, leadership offsites, and special events as required.
Office & Communication Management
- Answer office phone calls and forward messages
- Draft professional communications and ensure messaging aligns with organizational standards.
Strategic Support
- Conduct research and compile data to support decision-making.
- Identify opportunities to streamline processes and improve administrative efficiency.
- Anticipate executive needs and proactively address issues before they arise.
Transportation Support
- Drive executives to meetings, events, and other business-related destinations as needed.
- Maintain a clean driving record and comply with all applicable traffic and safety regulations.
- Ensure vehicles are kept in good condition, fueled, and ready for executive use.
- Handle transportation logistics, including travel routes and timing, to ensure timely arrival.
Qualifications Education & Experience
- High School Diploma or equivalent
- 3–7 years of experience supporting C-suite or senior executives.
- Experience in fast-paced, dynamic environments.
Skills & Competencies
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- High level of professionalism, integrity, and discretion.
- Proficiency with Microsoft Office; familiarity with project-management and communication tools.
- Ability to work independently, multitask, and meet deadlines.
- Valid driver’s license and clean driving record required.
Pay: From $41,600.00 per year
