We’re seeking a detail-oriented and proactive Proposal Analyst with a strong focus on content management to support the end-to-end proposal development process in a fast-paced, high-growth startup environment. What You’ll Do
Proposal Development
- Manage and respond to RFPs, RFIs, and vendor questionnaires in collaboration with Sales, Product, Legal, and other subject matter experts.
- Analyze requirements and tailor responses to align with client needs, ensuring compliance and brand consistency.
- Ensure timely, high-quality proposal submissions under tight deadlines.
- Own and maintain the proposal content library within Arphie, ensuring all information is accurate, up to date, and properly categorized.
- Conduct regular audits and work with stakeholders to improve, update, and expand reusable content.
- Ensure content reflects the latest product capabilities, positioning, and compliance standards.
- Serve as the primary administrator for Arphie, the company’s AI-driven proposal management platform.
- Configure, maintain, and optimize Arphie to streamline workflows and maximize automation capabilities.
- Coordinate training for internal teams on best practices for using Arphie and ensure alignment across departments.
- Monitor performance, manage user access, and ensure integration with tools like CRM and knowledge bases.
- Work cross-functionally with product, marketing, legal, compliance, and technical teams to gather accurate input for proposals.
- Coordinate internal review and approval workflows.
- Communicate proposal timelines, responsibilities, and status updates clearly and consistently.
- Continuously refine proposal processes, templates, and tools for efficiency and scalability.
- Proactively identify opportunities for automation and workflow optimization.
- Track key metrics such as proposal volume, turnaround time, win rates, and content usage trends.
- Bachelor’s degree in Communications, Journalism, English, or related field.
- 2–4 years of experience in proposal coordination, RFP writing, or sales enablement—ideally within a B2B SaaS or tech company.
- Familiarity with proposal automation platforms such as Responsive, Loopio, etc.; (direct experience with Arphie is a strong plus.)
- Excellent writing, editing, and proofreading skills with a keen eye for detail.
- Strong project management and organizational skills; able to manage multiple priorities under tight deadlines.
- Technically savvy, with experience using CRM systems (e.g., Salesforce), collaboration tools (e.g., Slack), Google Suite and MS Office.
- Ability to work independently in a fast-paced, ever-changing startup environment.
- Comfort working cross-functionally with both technical and non-technical teams.
- Hands-on experience applying large language models (LLMs) like ChatGPT to support proposal writing, content management, or sales enablement workflows.
- Experience working with SaaS travel and expense management solutions.
- Familiarity with industry compliance frameworks (SOC 2, GDPR, ISO 27001, etc.).
- Experience scaling proposal operations in a startup or growth-stage company.
