Parish Administrator Job Description

Reports to: Rector
Status: 20 hours per week
FLSA: Non-exempt
Job Summary
The Parish Administrator supports the clergy, staff, and ministry leaders by providing administrative functions and overseeing daily parish operations. The Parish Administrator is the first point of contact for many visitors and newcomers, and plays a vital part in extending our welcome into the community.

This position is a part-time position at 20 hours/week with set hours and at least 14 hours/week on-site. Our current rate is $20 per hour, plus a 9% contribution to an employee pension plan.
Essential Functions
Communications
· Produce weekly worship bulletins in communication with the rector and music director
· Produce weekly e-news letters in Constant Contact
· Update and maintain website
· Actively manage social media presence, posting regularly about events
· Maintain the Parish Calendar
· Create simple graphics and flyers using Canva or other design platform
· Produce and distribute other communications and marking materials as needed
· Produce Annual Meeting booklet and Stewardship materials
Administrative Support
· Warmly welcome and assist parishioners and visitors
· Handle general correspondence and inquiries through phone and email
· Provide administrative support to clergy, staff, committees, and ministry leaders
· Maintain office files, both online and hard copy, in good order
· Manages office and orders supplies as needed
· Coordinate with vendors as delegated by Rector
· Administer CORI checks for staff and volunteers
· Administer the Safe Church training program for staff and volunteers
· Troubleshoot technology issues with vendors
· Assist in the coordination of special events
· Other duties as assigned
Membership/Database Management
· Oversee membership database in Google Sheets or other platform
· Maintain parish record of services and sacraments, both on paper and online
· Produce Parish Directories as needed
Facilities Administration
· Manage rental requests and contracts
· Work with Building and Grounds Chair, sexton, and janitor to make sure that facilities needs are addressed in a timely manner

Qualifications
· 2-3 years administrative experience
· Proficiency with Word, Excel, Google Suite, Constant Contact, and Canva or other design software
· Excellent written and oral communication skills
· Flexibility and ability to multitask; friendly and professional demeanor; ability to maintain confidentiality
· Preferred: Spanish proficiency, basic graphic design skills, familiarity with the Episcopal Church
