About This Position

The Administrative Services Manager plays a critical role in supporting the operational and financial efficiency of 22 food service locations across Oklahoma. This position is responsible for executing a wide range of administrative functions, ensuring consistency in office procedures, and contributing to the accuracy and timeliness of financial reporting. The ideal candidate is detail-oriented, highly organized, and capable of managing multiple priorities in a fast-paced, multi-location environment.

 

Essential Functions, Duties, and Responsibilities

  • Responsible for office accounting functions such as accounts payable, accounts receivable and processing payroll for assigned units.
  • Process invoices and enters data to balance accounting records, accurately pay invoices, payroll reporting, and reconciling reports.
  • Review and approve accuracy of supply requisition and order forms.
  • Keeps management informed by reviewing and analyzing special reports; summarizing information; and identifying trends important to food service operations.
  • Responsible for site filing systems, and performs all site record keeping functions including but not limited to accuracy and completeness of employee files, records for special events, state and local government paperwork requirements, contracts, etc.
  • Insure filing systems are up to date, current and in compliance with appropriate record keeping standards.
  • Contributes to team effort by accomplishing related results as needed, performing other duties as assigned.
  • Cooperates with state and local auditors, providing necessary records and reports.
  • In some locations, responsible for maintaining accurate records, and verification of headcount.
  • Demonstrate outstanding organizational and time management abilities to consistently meet deadlines and optimize productivity.
  • Collaborate and communicate effectively with the Sr. Admin Services Manager to ensure alignment on work objectives.
  • Other duties as assigned.

What You'll Need

  • Degree in Business Administration, accounting, or a related field preferred; High School Diploma with equivalent experience accepted.
  • Minimum of 2–3 years of administrative and/or supervisory experience, ideally in a multi-site or operationally complex environment.
  • Proficiency in Microsoft Office Suite, especially Excel, Word, Outlook, and database management tools.
  • Experience with accounting and payroll software systems is a plus.
  • Ability to analyze and interpret data, identify discrepancies, and generate accurate reports.
  • Solid understanding of basic accounting principles, including accounts payable, accounts receivable, and payroll processing.
  • Proven ability to manage end-of-week and end-of-month financial reporting across multiple locations.
  • Experience with state-specific billing requirements and reconciliation processes.
  • Responsible for reconciling billing records from multiple sites, identifying variances, and coordinating with relevant departments to ensure accurate financial reporting.
  • Excellent organizational and time management skills.
  • Ability to manage and prioritize multiple tasks and deadlines in a fast-paced environment.
  • Strong attention to detail and accuracy in data entry, documentation, and reporting.
  • Experience preparing documentation for audits and ensuring compliance with record-keeping standards.
  • Strong analytical mindset with a proven track record in reconciling complex billing data across regional or multi-site operations.
  • Ability to identify and resolve discrepancies in billing, reporting, and operational data.
  • Willingness to travel within Oklahoma, as needed, to support on-site operations and team coordination.
  • Exercises sound judgment and the ability to assist with emergencies in a calm and effective manner.
  • Knowledge of accounting, data and administrative management practices and procedures.
  • Knowledge of clerical practices and procedures.
  • Must be able to lift up to 35 lbs. on occasion.
  • Must be proficient with Microsoft office applications (Excel & Word).
  • Must be able to work in a fast paced and demanding environment.
  • Exceptional organization and time management skills.
  • Basic knowledge of accounting, data and administrative management practices and procedures.
