What are the responsibilities and job description for the Part-time Church Administrator position at Trinity Presbyterian Church?
Trinity Presbyterian Church is seeking a dedicated and spiritually grounded Church Administrator to support the pastor and manage the day-to-day administrative operations of the church. This individual will be the organizational hub of our ministry, ensuring smooth communication, efficient office management, and thoughtful hospitality for all who engage with our church.
Key Responsibilities
Administrative & Communication Duties:
- Serve as confidential assistant to the Pastor/Head of Staff
- Manage church calendar and coordinate building usage
- Answer phones and emails; greet visitors and direct inquiries
- Produce and manage church communications: Sunday bulletins, email newsletters, monthly newsletter, and more
- Assist with planning and promotion of events
- Maintain digital and paper membership records
- Attend staff meetings and produce meeting agendas and minutes
Worship & Membership Support:
- Enter worship details into Planning Center
- Prepare certificates (Baptism, Membership, Ordination)
- Track attendance and connection card data
- Maintain the membership directory and Church Windows database
Facilities & Vendor Management:
- Coordinate with vendors and maintenance personnel
- Schedule inspections and facility maintenance
- Manage building access and key distribution
- Support event logistics and facility set-up coordination
Financial & HR Tasks:
- Work with Treasurer as needed; issue checks
- Handle HR documentation and background checks confidentially
Qualifications
- Bachelor’s degree or equivalent work experience preferred
- Minimum 2 years of administrative or office management experience
- Active Christian faith and commitment to the church’s mission
- Excellent organizational and communication skills
- Proficient with Microsoft Office, Google Workspace, and church management software (e.g., Church Windows)
- Discretion in handling sensitive and confidential information
- Ability to multitask and adapt in a dynamic, faith-based environment
Evaluation
Performance reviews will be conducted at 6 and 12 months, and annually thereafter, by the Pastor/Head of Staff and/or the Personnel Committee.
