What are the responsibilities and job description for the Department Support Assistant, Nursing Education position at Trinity Health System?
Job Summary:
Provides secretarial support for the Nursing Education Department, which includes coordination, distribution, data entry, report generation and other related clerical duties. This role serves as the Coordinator of Students & AHA Administrator.
Essential Key Job Responsibilities:
- Initiating EAA’s for new schools and additional disciplines to an already established EAA.
- Disperses student packets to all students that will need clearance to enter the health system, either as a shadow experience or hands-on clinical.
- Initiates NSP process for every student from all disciplines.
- Clears all students entering the health system for health work.
- Obtains HIPAA, Non-disclosure acknowledgements, and participation agreement and waivers on all students entering the system.
- Sits on the meetings for CSH’s initiative of moving to My Clinical Exchange student platform.
- Functions as the American Heart Association Training Center Administrator.
- Orders from AHA all books, videos, pamphlets, and electronic course completion cards.
- Enters all AHA rosters from the 41 instructors in Trinity’s AHA training center.
- Tracks the number of courses each instructor facilitates to keep instructors compliant with AHA standards.
- Updates Performance Manager with the expiration dates of AHA courses for every employee who takes an AHA course from Trinity’s training center and all outside training centers.
- Contacts AHA instructors via email when necessary to remind them of upcoming AHA requirements.
- Tracks AHA instructor’s packets of tests and other materials that are not permitted to be emailed according to the standards of the AHA.
- Emails all AHA class participants 1 week prior to class to remind them of the scheduled class and outlines the pre-course work that is required to attend advanced classes.
- Collects and submits all monies gathered from instructors who are not within the health system but in Trinity’s AHA Training center, as these instructors must pay for their student cards.
- Collects and submits all monies gathered from AHA class participants who are not employees, as these participants are charged a fee to attend the class at Trinity to cover the cost of the course completion card and the training that is provided.
- Scans and maintains all AHA rosters (for 41 instructors) in a shared drive for 5 years, ensuring compliance with AHA record retention policy.
- Submits rosters for all required AHA audits from the previous 5-year retention period.
- Assists The Joint Commission by providing electronic AHA course completion cards for employees if the employee has attended the course at Trinity’s training center.
Required Education
- High School Diploma or equivalent
- BLS required
