POSITION TITLE: Payroll Administrator
LOCATION: Cambridge, MA (hybrid)
This position reports to our global HQ in Cambridge, MA and is hybrid with 2-3 days onsite. Travel is expected domestically and internationally when needed.

Who We Are Looking For:
The Payroll Administrator is responsible for the accurate and timely processing of all payroll activities for TriNetX’s U.S. and international employees. This role ensures compliance with federal, state, and local regulations while supporting internal stakeholders in Finance, HR and Operations. The ideal candidate is detail oriented, highly organized, and able to work in a fast paced, scaling organization.
What You Will Be Doing:
- Payroll Processing
- Prepare and process weekly, semi-monthly payroll for U.S. employees and coordinate monthly payroll cycles for international entities.
- Maintain payroll records including new hires, terminations, compensation changes, and benefit deductions.
- Validate timesheets, commissions, bonuses, and other pay related adjustments.
- Reconcile payroll prior to transmission and validate all outputs.
- Compliance & Reporting
- Ensure compliance with all federal, state, and local payroll laws and regulations.
- File payroll tax reports and coordinate with external tax partners as needed.
- Support annual and quarterly reporting, including W-2, 1099, and audit requests.
- Maintain confidentiality and adhere to data privacy standards.
- Systems & Process Management
- Administer payroll systems (e.g., Dayforce, Vistra Global, or company specific tools) and coordinate integrations with HRIS and accounting software.
- Identify and implement process improvements to increase payroll accuracy and efficiency.
- Manage payroll GL mappings and support Finance with month end close entries and reconciliations.
- Employee Support
- Serve as primary point of contact for payroll related inquiries.
- Provide clear and timely communication regarding payroll policies, deductions, tax withholding, and paycheck questions.
- Collaborate with HR on benefits, leave programs, and employee lifecycle changes.
What You Bring to TriNetX:
- Bachelor’s degree or higher in Accounting, Finance, Business, or equivalent experience.
- 3 years of payroll processing experience in a multi-state environment.
- Strong understanding of payroll regulations, tax laws, and wage/hour standards.
- Experience with modern payroll software (ADP Workforce Now, Dayforce, Vistra Global, etc.).
- Exceptional attention to detail and strong analytical skills.
- Ability to handle confidential information with discretion.
Preferred
- Experience supporting global payroll in EMEA or APAC regions.
- CPP (Certified Payroll Professional) or FPC certification.
- Prior experience in a high growth tech or healthcare data company.
