The Role
We’re looking for a high-level Executive Administrative Assistant to support leadership across operations, finance, and strategic initiatives. This is not a basic admin role — this is for someone who can think, anticipate, organize chaos, and execute at a high level.
You will be the force multiplier for leadership — helping drive efficiency, communication, and follow-through across the company.
Key Responsibilities
- Executive Support
- Manage calendars, meetings, and priorities for leadership
- Screen and organize emails, calls, and internal communication
- Prepare reports, presentations, and internal documents
- Operational Coordination
- Track key projects, deadlines, and follow-ups across departments
- Coordinate between production, sales, and management teams
- Help ensure accountability on key initiatives
- Financial & Administrative Support
- Assist with reporting, job tracking, and internal metrics
- Work within systems like QuickBooks, CRM tools, and Excel
- Support payroll coordination, vendor communication, and documentation
- Client & Partner Communication
- Maintain professional communication with clients, adjusters, and vendors
- Assist in preparing formal correspondence and documentation
- Process & Systems Improvement
- Identify inefficiencies and help build better systems
- Create SOPs and improve internal workflows
What We’re Looking For
- Highly organized with strong attention to detail
- Strong written and verbal communication skills
- Ability to operate in a fast-paced, high-pressure environment
- Proactive mindset — you solve problems before they become problems
- Strong proficiency in:
- Microsoft Excel & Quickbooks
- Email and calendar management
- Basic financial/reporting systems (QuickBooks is a plus)
- Bonus if you have experience in:
- Construction, restoration, or insurance-related industries
- Supporting executives in operations-heavy businesses
