Tri Valley Landscaping is hiring an Administrative Coordinator to help keep our office, communication, and systems organized and moving.
This role supports the CEO, CFO, and Project Manager by owning phone coverage, client communication flow, calendar management, invoicing support, document retrieval for prequalification and submittals, and day-to-day office follow-through.
We’re looking for someone who is organized, professional, proactive, and comfortable learning technology. This person will also help keep LMN and LeanScaper boards current and functioning well so communication and workflows stay clear across the company.
Responsibilities
- Answer incoming calls professionally and route communication to the right person
- Support client communication and office follow-through
- Manage calendars, reminders, and recurring leadership meeting support
- Help coordinate invoicing and enter data in QuickBooks Online
- Search for, organize, and send company documents for prequalification packages and submittals
- Maintain organized digital files and shared records in Google Workspace
- Help keep LMN and LeanScaper boards current, accurate, and useful
- Support the CEO, CFO, and Project Manager with administrative follow-up and documentation
Qualifications
- Strong administrative and organizational skills
- Strong people skills and professional communication
- High initiative and follow-through
- Comfortable using and learning technology quickly
- Experience with Google Workspace
- QuickBooks Online experience preferred
- Experience in office coordination, construction admin, subcontractor admin, or landscaping admin preferred
- Ability to manage multiple priorities without losing detail
- Comfortable handling confidential business and financial information
