Job Summary
The Medical Records Support Specialist, under the direction of the Compliance Director, is responsible for collecting and scanning documents into the electronic health record, delivering documents to departments, and handling inbound and outbound mail. The Medical Records Support Specialist also fulfills requests for medical records on behalf of patients, insurance companies, and attorneys. The Medical Records Support Specialist provides coverage for the Medical Records Specialist regularly and performs duties that may be necessary or in the best interest of the department and practice.

The Medical Records Support Specialist, under the direction of the Compliance Director, is responsible for collecting and scanning documents into the electronic health record, delivering documents to departments, and handling inbound and outbound mail. The Medical Records Support Specialist also fulfills requests for medical records on behalf of patients, insurance companies, and attorneys. The Medical Records Support Specialist provides coverage for the Medical Records Specialist regularly and performs duties that may be necessary or in the best interest of the department and practice.
Essential Functions
- Collects documents from designated areas and scans into the electronic health record
- Delivers faxes and other critical documents to clinical staff and other departments
- Works the nurse’s queue to rename and file documents into the electronic health record
- Prepares outbound mail for pickup, including weighing, stamping, and special handling
- Opens, sorts, and delivers inbound mail to mailboxes and various departments
- Handles special requests of physicians and staff for document/mail pickup and delivery
- Fulfills requests for medical records and completes various forms on behalf of patients, insurance companies, and attorneys
- Fulfills requests for patient images and transfers to CD
- Responds to internal/external phone calls and emails
- Confirms valid authorization to release medical records is on file and ensures compliance with HIPAA privacy and security laws
- Assists other members of the department and new hire training
- Assists with coverage for vacation, leave, etc.
- High school diploma
- Strong knowledge of HIPAA privacy and security laws
- Knowledge of the healthcare environment and medical terminology
- Pays attention to detail and detects missing or incorrect information in the medical record
- Works efficiently to complete tasks and maintains a high level of accuracy
