Description
Client Service & Relationship Support
Serve as the go-to contact for clients, delivering responses that are timely, clear, and genuinely caring.
Lead clients confidently through onboarding, digital access, documentation, and account updates.
Support clients through important life events—beneficiary changes, distributions, restructuring accounts—with sensitivity and accuracy.
Stay ahead of client needs with proactive outreach around RMDs, expiring documents, renewals, and more.
Build strong awareness of client histories, preferences, and patterns so you can anticipate their next needs before they ask.
Account Administration & Operations
Execute account openings, transfers, funding, and maintenance with precision
Process cashiering requests (wires, checks, journals, deposits, redemptions) quickly and flawlessly.
Prepare and manage alternative investment subscription documents.
Support ongoing alternative investment workflows—capital calls, distributions, and document retention.
Track and chase down outstanding items, ensuring paperwork, transfers, and requests move to the finish line.
Reconcile trades, transactions, and cash activity and internal systems.
Keep client files impeccably organized, compliant, and audit-ready at all times.
Reporting & Meeting Excellence
Produce polished client reports, portfolio summaries, and meeting materials that showcase a high professional standard.
Help create presentations, follow-up communications, and detailed planning documents.
Sit in on client meetings to provide operational insight and take ownership of next steps.
Ensure meeting prep, documentation, and follow-up happen consistently and accurately—every time.
Keep client information, CRM records, and service activity updated, complete, and crystal clear.
Practice & Team Support
Support advisors with scheduling, workflow coordination, task management, and internal communication.
Assist with firm marketing initiatives, client events, and communications.
Coordinate insurance and annuity servicing with both internal and external partners.
Manage administrative tasks such as expense reporting, form processing, and documentation.
Assist with client billing reviews and inquiries to ensure accuracy and transparency.
Requirements
Bachelor’s degree preferred.
Series 6, 63, or 65 preferred.
Strong experience working with Schwab as the primary custodian; Schwab Advisor Center expertise required.
5 years of wealth management and/or high-net-worth client service experience.
Confident communicator with a strong client-facing presence.
Solid proficiency in MS Office, CRM systems, and custodian platforms.
Extreme attention to detail, strong organizational skills, and unwavering consistency.
Ability to juggle multiple priorities while staying composed and effective in a fast-paced setting.
