Job Summary:
The Employee Benefits Assistant is primarily responsible for supporting ongoing relationships with retirement plan sponsors and participants while upholding fiduciary responsibility. Duties include administrative preparation, record keeping and resolving participant/plan sponsor inquiries and requests.
Responsibilities:
·Support the effective and efficient management of daily workflow and processes in all aspects of account management.
·Assist with monitoring of administrative review schedule.
·Maintain ongoing open communication with plan sponsors, participants and outside vendors.
·Assist with the development of professional presentations based on specific client needs (sales, education, etc.).
·Prepare or assist with preparation of reporting; performs basic information gathering, analysis, and forecasting.
·Monitor and receipt client quarterly fees to ensure timely and accurate recordkeeping. In addition, process manual fee invoices.
·Assist in the transfer process for consolidating outside retirement accounts (rollovers).
·Maintain and update files, databases, records, and account openings related to client services.
·Schedule and coordinate meetings, events, appointments, or similar activities for the Employee Benefit Associates.
·Provide secondary administrative support for the bank such as answering phones, assisting and greeting visitors, and resolving a range of administrative inquiries.
·Prepare materials for ongoing education meetings, enrollment meetings, proposals, newsletters and other personal finance education to ensure the Relationship Manager is ready to present.
·Assist participants in various aspects of their accounts and retirement planning.
·Conduct analysis for retirement planning for clients (GAP).
·Run daily, monthly, and quarterly reports for client accounts to update all retirement plan balances
·Continuously monitor investment tracking and reviews (fi360 and Morningstar).
·Ensure account compliance with all fiduciary policies, laws and regulatory requirements.
·Provide continuous education for clients on their 401(k), including enrollment, investments, contributions, personal finance, etc.
·Coordinate with recordkeepers to make any plan level fund changes, along with allocation changes to model portfolios.
·Monitor loans, payrolls, distributions to assist plan sponsors with plan compliance.
·Assist Relationship Managers with the analysis, cost comparison and proposal for prospective clients.
·Update client mastery of tasks within internal trust accounting system for pension plans
·Execute ACH transfers and receipting of cash.
· Other duties as assigned.
Required Skills/Abilities:
· Bachelor’s degree in Finance, Business or related field.
· Proficient in Microsoft Office Suite.
· Excellent verbal and written communication skills.
· Strong analytical skills.
· 1-2 years of experience in finance or accounting, preferred.
