What are the responsibilities and job description for the Commercial Administrative Assistant position at TRI STAR MOTORS?
1. Primary Purpose of Position
§ The commercial business coordinator is responsible for providing administrative support to the Director of Commercial Accounts, Executive Assistant, and the Commercial Department – providing support to the activities of the department such as: financing, insurance, information to commercial customers, accurately processing cash, finance, and lease contracts. Assisting the department with maintaining overall productivity and efficiency standards set by the dealership.
2. List the essential functions, duties, and responsibilities of the position, starting with the most important and ending with the least important:
- Monitors commercial hotline incoming calls and accurately writes up customer request to forward to D.O.C. to be distributed to C.A.M.’s.
- Prepares and knows all commercial deal related paperwork.
- Signs out and explains deal paperwork to customers taking delivery.
- Claims required insurance info to insurance providers.
- Claims commercial rebates and reconcile.
- Properly report units sold to manufacturers.
- Track and record daily, monthly, and yearly sales.
- Tracks and maintains inbound unit invoicing.
- Invoice and re-invoice commercial units to proper sale type.
- Assist D.O.C. in special projects.
- Service and grow existing customer base; maintaining a customer follow-up. system that encourages repeat and referral business.
- Routine use of computer-based programs.
- Maintain good communication between all department heads.
- Know and understand the federal, state & local laws which govern commercial truck sales.
- Verify lien payoff balances and automotive insurance policies, and all customer signatures.
- Verify customer vehicle deposit receipts in house at delivery
- Understanding and complying with federal, state and local regulations.
- Arrangement of logistics for drivers and paperwork to customers.
- Track & reconcile demo programs.
- Track & reconcile ad assist programs.
- Track & reconcile floorplan programs.
- Track & reconcile VIP/CPA programs.
- Process all deals within 72 hrs.
- On/off site sign out of deliveries when needed.
- Understand/report COSTAR Municipal contracts.
3. Requirements: Education/Experience/Skills:
High School Diploma or equivalent
Valid in-state driver’s license
Ability to read and comprehend instructions and information
Professional appearance and work ethic
Superior customer service, communication, and multi-tasking skills
Basic understanding of financing
Basic understanding of commercial vehicles
Basic understanding of computers and auto industry software
Experience in notary and title work is preferred.
Job Type: Full-time
Pay: $36,000.00 - $75,000.00 per year
