Duties
- Maintain and organize physical and electronic records, files, and documents with precision and attention to detail
- Perform data entry tasks using software such as Oasis and Microsoft Office to ensure accurate recordkeeping
- Support office management activities by assisting to compose/distribute reports/correspondence and other related items to programs/office coordination
- Conduct proofreading and quality checks on documents to ensure accuracy and consistency before filing or distribution
- File documents systematically in both digital and physical formats following established procedures
- Monitor program sites for compliance with program requirements
- Ensure adherence to office policies related to phone etiquette, confidentiality, and data security
Skills
- Proven experience with office management, clerical duties, or administrative roles in fast-paced environments
- Strong computer literacy including proficiency in Microsoft Office (Word, Excel, PowerPoint) and data entry skills
- Excellent organizational skills with the ability to multitask efficiently while maintaining attention to detail
- Exceptional phone etiquette skills with experience handling multi-line phone systems and providing customer support
- Strong typing skills for efficient document preparation and data entry
- Ability to proofread documents accurately for spelling, grammar, and formatting consistency
- Knowledge of office equipment such as scanners, copiers, fax machines, and filing systems
- Effective time management skills enabling prioritization of tasks in a busy environment
