The Administrative Assistant provides critical support to the Vocational Director in a fast-paced, student-centered environment. This role involves a variety of administrative and clerical duties to ensure the smooth operation of vocational programming and cooperative education initiatives. The ideal candidate will be organized, detail-oriented, and able to manage multiple priorities while maintaining professionalism and confidentiality. A strong ability to work respectfully and effectively with a diverse group of students, staff, families, and community members is essential.Key Responsibilities: Administrative Support: Maintain calendars, schedule appointments, and coordinate meetings for the Vocational Director.
Prepare memos, letters, emails, reports, and other correspondence. Organize and maintain physical and digital filing systems in compliance with school and state records policies. Process requisitions, purchase orders, and supply inventory for the vocational department.Vocational Program Support: Serve as the first point of contact for the vocational office: answer calls, take messages, and assist staff and students. Manage purchasing, vendor relationships, and orders for equipment, supplies, and services (including BudgetSense and Amazon).
Support instructors and budget liaisons with quotes, reports, and ordering processes. Coordinate work orders, invoices, and payments for vocational shops. Organize and manage programs and events, including SkillsUSA, HUNCH, freshman placement, Open House, Program Advisory, and summer camps. Oversee student certifications, trade cards, and licensing forms for graduating seniors.
Handle transportation, lodging, and logistics for field trips, competitions, conferences, and site visits. Plan and support end-of-year activities: shop hours, certifications, obligations, year-end packets, and equipment management. Assist with hiring, teacher onboarding, schedules, and other vocational office responsibilities. Assist with cooperative education as neededGeneral Office Duties: Answer phones, greet visitors, and respond to inquiries related to vocational and Co-Op programs.
Provide backup support to other administrative staff during peak periods or absences. Assist with event coordination for career fairs, industry partner visits, and vocational showcases. Perform other duties as assigned by the Principal or Designee.
