TERMS OF EMPLOYMENT
This is a part-time position of approximately 15 hours per week during the regular school year (approximately 32 weeks.) The specific schedule and duration of employment will be determined by the needs of the Cooperative Education Program and the school district.
Employment is subject to applicable district policies, collective bargaining agreements, and Massachusetts and federal laws and regulations.
The Administrative Assistant to the School to Career Director provides clerical, organizational, and administrative support for the district’s Cooperative Education Program. The position assists with coordinating student work placements, maintaining records, communicating with students, families, staff, and employers, and ensuring program activities comply with district policies and applicable Massachusetts requirements.
The position requires strong organizational, communication, time-management, attention-to-detail, and confidentiality skills.

REPORTING STRUCTURE
Reports to the School to Career Director and collaborates with school and district administrators, vocational program staff, students, families, employers, and community partners.
PERFORMANCE RESPONSIBILITIES
• Provide administrative support to the School to Career Director and assist with daily program operations.
• Maintain accurate records of student placements, applications, agreements, schedules, eligibility, attendance, evaluations, and work hours.
• Assist with coordinating student placements, work schedules, employer relationships, orientations, meetings, and site visits.
• Communicate with students, parents/guardians, staff, employers, and community partners regarding placements, schedules, requirements, and program procedures.
• Prepare, process, distribute, and file forms, agreements, reports, correspondence, and other program documentation.
• Maintain databases, spreadsheets, calendars, contact lists, electronic files, and employer records.
• Monitor deadlines and outstanding documentation and bring concerns to the attention of the School to Career Director.
• Assist with compliance documentation, audits, program reviews, and required state and district reporting.
• Assist with documenting workplace incidents and communicating relevant information to appropriate personnel.
• Assist with purchasing, invoices, reimbursements, and other program-related financial records.
• Prepare reports, correspondence, presentations, and other materials as requested.
• Assist with program communications, newsletters, website updates, and social media.
• Perform general office duties, including answering phones, responding to emails, greeting visitors, filing, scanning, copying, and maintaining supplies.
• Provide professional and courteous service to students, families, staff, employers, and community members.
• Perform other duties as assigned by the School to Career Director, Principal, Superintendent, or designee.
