Job Overview
We are seeking a highly organized and detail-oriented Dental Patient Coordinator to join our dental practice. The ideal candidate will serve as the first point of contact for patients and referring general dentists, managing appointment scheduling, insurance verification, medical records and filing insurance claims. This role requires excellent communication skills, proficiency with electronic health record (EHR) systems, and a solid understanding of dental terminology and administrative procedures. The Dental Patient Coordinator plays a vital role in ensuring smooth clinic operations and delivering exceptional patient service.
Responsibilities
- Greet patients warmly and provide outstanding front desk support, including check-in and check-out procedures
- Schedule patient appointments using dental practice management software such as Eaglesoft or Dentrix
- Verify insurance coverage and benefits, including Medicaid, and private insurance plans
- Manage patient records within EMR systems
- Review and update medical documentation, ensuring accuracy and compliance with HIPAA regulations
- Handle phone inquiries with professional phone etiquette across multi-line phone systems
- Assist with billing processes, including medical collection activities and insurance claim submissions
- Support office management tasks such as filing, data entry (including 10 key typing), and maintaining organized medical records
- Collaborate with clinical staff to ensure smooth intake processes and patient flow within the clinic
- Provide administrative support related to medical office management, including appointment reminders and follow-up calls
Skills
- Must speak Spanish
- Strong knowledge of dental terminology, medical terminology, ICD coding (ICD-9/ICD-10), CPT coding, and care plan documentation
- Experience with dental practice management software
- Proficiency in Microsoft Office Suite (Word, Excel) and other computer skills necessary for documentation review and data entry
- Excellent customer service skills with professional phone etiquette and bilingual abilities
- Knowledge of HIPAA regulations to ensure patient confidentiality and data security
- Prior clinic or dental office experience highly desirable; experience in medical billing or medical administrative support is advantageous
- Ability to handle multiple tasks efficiently in a fast-paced environment while maintaining attention to detail
