POSITION SUMMARY
This position provides supervision over the daily functions of the HIMS Department as well as all HIMS personnel. This position works in collaboration with all departments to ensure all necessary records are available for the physician and staff to provide timely and appropriate medical care to all patients.
SUPERVISORY ESSENTIAL FUNCTIONS:
1. Supervises the workflow and workload of the team to ensure efficiency. Maintains staff schedules and adjusts schedules according to the volume needs of the department.
2. Coordinates employee communication meetings to include stand-up meetings and rounding. Coordinates and documents 1:1 meetings with staff members and departmental staff meetings.
3. Responsible for employee performance initiatives to include 30 day, 90 day, and annual evaluations. Provides input on employee discipline, coaching and improvement plans with the manager. Works with employees to correct deficiencies in performance or tasks. Oversees/monitors training for new and existing employees. Handles employee complaints and grievances in collaboration with direct managers.
4. Reviews payroll weekly and ensures accuracy. Submits payroll on a biweekly basis. Tracks absenteeism and approves time off.
5. Shadows staff annually for skill competency. Shadows staff for service competency. Sets example by utilizing AIDET and customer service standards.
6. Responds to all urgent and emergent events.
7. Collaborates with Manager in achieving patient, employee and physician satisfaction initiatives. Collaborates with Manager on the development of new policies and procedures. Assists Manager with interviewing for open positions.
8. Performs inventory control, orders supplies, oversees proper use of equipment and reports any facility issues to the Manager. May be responsible for maintaining preventative maintenance schedules for equipment, addressing equipment needs, and scheduling equipment repairs as needed.
9. Develops productivity measures and reports to achieve maximum proficiency and efficiency of staffing resources.
10. Continues to further knowledge base through self-learning, seminars, in-service trainings, etc.
DEPARTMENT SPECIFIC ESSENTIAL FUNCTIONS:
- Performs the essential functions of the HIMS File Clerk and ROI Specialist (fax server, diagnostic testing filing, filing and Release of Information duties, process complex ROI’s for FMLA, Disability, attorney offices and subpoenas, loading and unloading interofficed couriered bags) and Prepper (preparing charts) as needed.
- Oversight for all outside chart audits.
- Oversee medical records phone hunt group maintaining adequate staffing for calls.
- Ensures all medical records functions are completed timely.
- Works closely with internal customers to identify trends or challenges in the medical records processes.
- Manages and investigates escalated issues for the Medical Records Team.

Type of Supervisory Responsibilities: This positions has full supervisory accountability for development, performance management and evaluation of staff.
Qualifications:SCOPE AND COMPLEXITY
The scope requires the incumbent to be knowledgeable in all areas of the organization and have a solid understanding of cardiac procedures. This position oversees medical records support in one location. This position works collaboratively with physicians, patients and staff. This position provides the medical records services for the entire organization.
TRAVEL
Local travel to other Tri City Cardiology locations is required during the business day.

- Able to stand or sit for prolonged periods of time.
- Able to walk, bend, squat, reach and stretch frequently.
- Needs adequate hearing acuity.

- Requires fine motor skills, adequate eye-hand coordination, and ability to grasp and handle objects.
- May be required to lift up to 25 pounds.
- Needs to be able to communicate effectively with patients, physicians, management and employees through reading, writing, and speaking in person or on the telephone.

- Requires use of fax, telephone, printer, copier, scanner, calculator and other job related equipment.
MINIMUM QUALIFICATIONS
Education/Experience/Licenses/Certifications
High school diploma or GED required.
Two years of medical records experience.
Skills/Knowledge/Ability
40 wpm typing
Demonstrated critical thinking ability in order to resolve problems and carry out instructions.
Ability to multi task, be self motivated, and able to work in a highly energized team.
Excellent verbal and written communication skills presented in an effective, clear, calm, friendly and professional manner.
Demonstrates a high sense of urgency at all times.
Ability to read and interpret documents.
Exceptional organization skills.
Knowledge of basic computer and math skills.
Ability to lead a team as a strong role model, knowledge content expert and coaching/mentoring ability
Eligibility

PREFERRED QUALIFICATIONS
Associates degree in Health Information Management or related field preferred.
Two years of supervisory experience preferred.
Cardiology medical experience preferred.
Insurance or collections experience preferred.
