Position Summary
The Payroll Administrator is responsible for the accurate and timely processing of the company’s payroll, including multi-state wage reporting, benefits deductions, garnishments, taxes, and compliance requirements. This role works closely with HR, Accounting, and Operations to ensure employees are paid correctly and on schedule. ADP Workforce Now experience is strongly preferred. Prior in-house payroll processing is a plus.
Key Responsibilities
Payroll Processing
- Process weekly, bi-weekly, and/or semi-monthly payrolls for all employees using ADP Workforce Now and in Spectrum ERP
- Ensure accuracy of hours, rates, job codes, per diem, differentials, PTO, bonuses, and commissions.
- Review and validate timecards, imports, and manual adjustments.
- Reconcile prior-period corrections as needed.
- Manage year-end payroll responsibilities including W-2s, verification reports, and audit requests.
Compliance & Regulatory Requirements
- Ensure payroll practices comply with federal, state, and local wage laws.
- Process and maintain garnishments, levies, child support, and payroll-related court orders.
- Ensure proper calculation and remittance of payroll taxes.
- Maintain compliance with company policies, collective agreements (if applicable), and statutory guidelines.
Data Administration
- Maintain and update employee profiles within ADP.
- Enter new hires, terminations, job changes, deductions, direct deposit, and tax setup.
- Support HR and Accounting with labor reports, GL reconciliation, and payroll audits.
- Compile workforce analytics as needed (turnover, hours worked, labor cost, etc.).
Employee Support
- Respond to employee payroll questions with professionalism and confidentiality.
- Assist employees with ADP access issues, tax forms, and earning statements.
- Collaborate with HR on onboarding and benefits enrollment for accurate payroll setup.
Qualifications

Required:
- 3 years payroll experience in a corporate environment
- Strong understanding of FLSA and multi-state payroll compliance
- High level of accuracy, confidentiality, and attention to detail
- Proficiency in Excel and payroll reporting tools

Preferred:
- ADP Workforce Now experience
- In-house payroll processing experience
- Certified Payroll a plus
- Experience in construction, manufacturing, or multi-entity environments
