Position Summary
The Accounting Associate is responsible for managing and supporting all accounting activities related to homeowner financials within a short‑term vacation rental property management company. This role ensures accurate financial reporting, timely owner payments, proper expense allocations, and clear, compliant monthly homeowner statements. The position requires strong attention to detail, a solid understanding of trust accounting concepts, and the ability to work across multiple properties and owners in a fast‑paced environment.
Responsibilities and Essential Duties
- Prepare, review, and reconcile monthly homeowner statements, ensuring accuracy and completeness before distribution
- Allocate rental revenue, management fees, taxes, and other charges correctly at the property and homeowner level
- Review and post expenses to be charged back to homeowners, including maintenance, cleaning, pest control, utilities, deep cleans, and owner stays
- Process and reconcile homeowner disbursements in accordance with company policy and applicable state trust accounting regulations
- Assist with posting and reviewing journal entries related to owner revenue, expenses, taxes, and accruals
- Coordinate with operations, maintenance, housekeeping, and guest services teams to ensure expenses are accurately recorded and charged
- Prepare and submit required tax reports including lodging taxes, occupancy taxes, sales taxes, and other property‑related tax filings as applicable to local, state, and municipal authorities
- Assist the Accounting Manager with additional month end close activities related to homeowner accounting
Minimum Experience Qualifications
- Associate’s or Bachelor’s degree in Accounting, Finance, or a related field (or equivalent practical experience)
- 1–3 years of accounting experience; property management, hospitality, or homeowner accounting experience strongly preferred
- Familiarity with trust accounting concepts and multi‑property or portfolio accounting
- Experience with accounting software such as QuickBooks Online, Guesty, or similar property management/accounting systems preferred
Knowledge/Skills/Abilities (KSAs)
- Strong attention to detail and high degree of accuracy
- Solid understanding of basic accounting principles, accruals, and reconciliations
- Effective written and verbal communication skills, especially when explaining financial information to non‑accounting audiences
- Proficiency in Microsoft Excel, including basic formulas and reconciliations.
- Familiarity with property management and booking software
- Strong time management skills to efficiently toggle between systems doing data entry while collaborating with team members
- Flexibility to work as business demands
- Ability to work remotely and independently across multiple time zones
Pay: $22.00 - $24.00 per hour
