The GSE Clerk / Administrative Assistant provides essential clerical, administrative, and coordination support for Ground Service Equipment operations at an assigned station. This role ensures GSE assets are accurately tracked, maintained on schedule, and properly documented — serving as the administrative backbone of the ground operations team.
ESSENTIAL DUTIES AND RESPONSIBILITIES:Equipment & RecordsMaintain accurate logs for all GSE assets, including assignments, inspections, repairs, and status
Process work orders, maintenance requests, and repair documentation
Track preventive maintenance schedules and issue timely reminders
Coordinate with mechanics and supervisors on equipment availability
Support GSE inventory counts and reconcile equipment discrepancies
Prepare daily, weekly, and monthly operations reports for station leadership
Manage purchase orders, invoices, and vendor correspondence for GSE parts
Enter and audit data in fleet management and operations systems
Assist with scheduling, shift communications, and team correspondence
Maintain organized filing of compliance and safety documentation
High school diploma or equivalent; associate degree preferred
2 years of administrative, clerical, or operations support experience
Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and data entry systems
Strong organizational skills with attention to detail and accuracy
Ability to work on-site full-time in a fast-paced operations environment
Strong written and verbal communication skills
Working on-site in Grand Island, NE
Experience in aviation, ground handling, logistics, or transportation operations
Familiarity with GSE, fleet management systems, or asset tracking platforms
Knowledge of ramp safety requirements and airport operational standards
Experience with work order management or CMMS (computerized maintenance management) software
On-site office position — primarily indoor, adjacent to active ramp areas
Department: Maintenance | Reports To: GSE Director / VP of Maintenance
May require early morning, evening, weekend, or holiday shifts aligned with flight operations
Primarily sedentary desk work with prolonged computer use
Ability to walk ramp areas and conduct occasional equipment spot-checks
Must be able to work in an environment with exposure to aircraft noise and ground vehicle traffic
