Full Charge Bookkeeper/Administrative Assistant – Dog Friendly Required
We are looking for a dependable, responsible Bookkeeper / Administrator to perform a variety of administrative and bookkeeping tasks for a casual, small business. Duties of the Administrator include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. Responsibilities include preparing reports and maintaining appropriate filing systems. The ideal candidate should have experience with Quickbooks, excellent oral and written communication skills and be able to organize their work using tools, like MS Excel, Word and office equipment. If you have previous experience as a bookkeeper or Executive administrative assistant and familiarity within our Tree Service industry, we’d like to meet you. Ultimately, a successful Administrator should ensure the efficient and smooth day-to-day operation of our office.
Responsibilities
- Answer and direct phone calls
- Organize and schedule appointments
- Accounts payable, receivable, and payroll
- Write and distribute email & mail, correspondence memos, letters and forms (including but not limited to Docusign, 811-Locates, Permit Applications)
- Prepare regularly scheduled reports and month end & year end activities
- Maintain a filing system
- Update and maintain office policies and procedures
- Order supplies and research new deals and suppliers
- Maintain contact lists
- Assist insurance agents with multiple policies and Workers Comp Submissions as well as OSHA reporting
- Bank Reconciliations
- Submit and reconcile expense reports
- Work closely with off site accountant to provide reports and information
- Act as the point of contact for clients
- Liaise with executives and owners to handle requests and queries
Skills
- Proven experience as an administrator and bookkeeper
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and scanners
- Proficiency in Quickbooks, MS Office Word and Excel
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- High School degree or higher; additional qualification as an Administrator or Bookkeeper
- Bilingual English / Spanish a plus
