Assistant to the Chief Operating Officer (COO)
A Special Assistant to the Chief Operating Officer will provide high-level administrative, strategic, and project support, acting as a gatekeeper and liaison for the executive office, managing complex schedules, preparing communications (speeches, emails, talking points), handling logistics for meetings/events, and often managing special initiatives or projects, requiring strong discretion, organizational skills, and communication to support the COO’s priorities.
· Executive Support: Manage the COO’s calendar, handle confidential correspondence, and prepare briefing materials.
· Communication & Liaison: Draft communications, serve as a point of contact with internal/external stakeholders, and ensure consistent messaging.
· Project Management: Lead or support special projects, track key initiatives, and follow up on action items.
· Logistics: Coordinate travel, meetings, events, and ensure all preparations are handled efficiently.
· Strategic Alignment: Work with the Vice President to align the COO’s activities with organizational goals.
Key Skills & Qualities:
- Exceptional organization, time management, and attention to detail.
- Proven experience as an Executive Assistant or similar role.
- Ability to multitask and prioritize in a fast-paced environment.
- Strong written, oral, and interpersonal communication skills.
- High level of discretion, diplomacy, and political savvy.
- Ability to anticipate needs and take initiative.
- Ability to work independently, creatively, and solve complex problems.
