Job Summary:

The Operations Manager is responsible for leading and overseeing the daily operations of the agency to ensure productivity, efficiency, and exceptional service delivery. This role manages staff performance, training, and development while standardizing procedures across offices in partnership with leadership. The Operations Manager also oversees key marketing initiatives, and efficiency of technology platforms to maintain an effective workforce environment, resolution of client and vendor concerns, and builds strong partnerships that maximize revenue and business opportunities.

Key Responsibilities:

  • Oversee the daily operations of the various offices to ensure productivity, efficiency and exceptional service delivery.
  • Handles external complaints and works to a resolution.
  • Builds relationship with vendors to create a positive business partnership – negotiates increased commissions, agent incentives, FAM opportunities, Advertising Co-op opportunities and vendor training.
  • Manages preferred vendor list. Company Point of contact for waivers and favors with vendors to eliminate multiple requests from sales team.
  • Reviews business trends and challenges with CEO on a quarterly basis and as appropriate creates SMART action plans to improve business as a result of this review.
  • Prepares operations and marketing portions of the annual strategic plan.
  • Revive and administer Travel Agent Apprenticeship Program. Prepares Grant Application for Incumbent Workers Training.

  • Work with CEO and HR manager to standardize appropriate procedures and policies across all offices.
  • Supervise, train, and support travel agents and administrative staff to ensure excellent customer service, high productivity and sales goals are being met.
  • Manages staff meeting agendas and meetings.
  • Hires, manages and when necessary, terminates personnel.
  • Works with HR to plan and execute employee appreciation.
  • Communicates areas of accountability and performance expected of personnel.

3.

  • Facilitates tradeshow requests for marketing materials such as signage and flyers.
  • Oversee marketing opportunities through Clientbase for targeted marketing pieces, email and direct mail.
  • Implement marketing and advertising campaigns by preparing an annual marketing plan and identify and implement advertising strategies, and coordinates vendor proposals.
  • Manages vendor consumer shows including vendor support, location, budget, marketing materials such as invitations, flyers and advertising.

  • Oversee all necessary functions to effectively and efficiently manage technological initiatives to assure an efficient workforce environment.
  • Performs other duties and responsibilities as required or requested.
  • Daily ARC report back-up for accounting.

Required Skills & Qualifications:

  • Experience managing people.
  • Punctual and reliable attendance in office.
  • Good working knowledge of Microsoft Office Suite.
  • Strong verbal, written and interpersonal skills.
  • Keen eye for details.
  • Strong time management skills.
  • Project coordination experience is a plus.
  • Ability to remain in a stationary position (e.g., seated or standing) for extended periods.
  • Ability to operate a computer, telephone, and other standard office equipment.
  • Frequent movement within the office to access files, office machines, or meet with staff/ walk-ins.
  • Ability to lift and carry office supplies or packages up to 50lbs occasionally.
  • Visual acuity to read printed and digital documents.
  • May occasionally need to bend, kneel, or reach overhead.

Work Environment:

  • Office-based – No remote work.
  • Travel opportunities for education-based trips.
