About the Role

TraVek Remodeling & Roofing is seeking a warm, reliable, and highly organized Front Desk / Office Coordinator to serve as the first point of contact for our clients, visitors, and vendors. This role is ideal for someone who enjoys supporting others, following established processes, and creating a welcoming, well-organized environment.


As the Front Desk / Office Coordinator, you play a critical role in the daily rhythm of the office. In addition to front desk and administrative coordination, you are responsible for lead intake and client onboarding, ensuring every incoming inquiry is handled professionally, accurately, and consistently. This includes answering incoming calls, qualifying potential clients, scheduling appointments, and preparing and sending appointment packets. You also support final job closeout administration, including generating and issuing warranties to clients once projects are complete.


Your attention to detail, calm communication style, and consistency help ensure smooth operations, accurate follow-through, and a positive experience for both clients and internal team members—from first contact through project completion.

Key ResponsibilitiesReception & Customer Service
  • Greet clients, visitors, and vendors with a friendly, professional demeanor
  • Answer incoming calls promptly (within 3 rings) and direct inquiries appropriately
  • Provide accurate information and assist with client questions
  • Maintain a welcoming, professional front desk environment


Scheduling & Coordination
  • Schedule appointments, consultations, and service calls
  • Send appointment reminders via phone or email
  • Coordinate meeting rooms, calendars, and office resources


Warranty Administration
  • Track and initiate digital warranties using the CRM
  • Ensure warranties are administered accurately and on time


Administrative & Office Support
  • Perform data entry, filing, scanning, and document management
  • Manage incoming and outgoing mail and deliveries
  • Maintain organization and cleanliness of reception and common areas
  • Monitor and maintain water and refreshments in office refrigerators
  • Assist the HR/Office Manager with monthly seminars and employee engagement events


Compliance & Confidentiality
  • Follow company policies and procedures
  • Handle sensitive information with discretion and confidentiality

  • Answer all incoming calls within 3 rings
  • Administer warranties accurately and on time
  • Maintain office readiness and front desk standards
  • Attend required weekly and monthly team meetings

Education & Experience
  • High school diploma required
  • Previous reception or phone-based experience required
  • Sales or customer service experience preferred
  • Comfortable using CRM systems for data entry and tracking
