Position Summary
The Accounts Payable Specialist ensures accurate and timely processing of invoices, reimbursements, and payments for Transylvania Habitat for Humanity. This role supports the organization’s financial operations by maintaining strong internal controls, ensuring compliance with organizational policies, and providing accurate records for audits and reporting.
Key Responsibilities
- Process vendor invoices, credit card transactions, and employee reimbursements in QuickBooks and RAMP.
- Verify and match invoices to purchase orders and receipts, ensuring proper approval and coding to expense accounts.
- Prepare weekly payment runs (checks and electronic payments) and maintain organized documentation.
- Reconcile vendor statements and resolve discrepancies in a timely manner.
- Maintain accurate and up-to-date accounts payable files and records.
- Assist with month-end and year-end close processes as needed.
- Assist with inventory management.
- Support the Finance Team with budget tracking, reporting, and audit preparation.
- Communicate professionally with vendors, staff, and volunteers to ensure smooth financial operations.
- Uphold Habitat’s financial policies and confidentiality standards.
Qualifications
- Associate’s degree in accounting, business, or related field (or equivalent experience).
- 2 years of experience in accounts payable or bookkeeping.
- Proficiency in QuickBooks Online and Microsoft Excel.
- Strong attention to detail, organization, and accuracy.
- Ability to manage multiple priorities and meet deadlines independently.
- Commitment to Habitat for Humanity’s mission and values.
Preferred Skills
- Experience with non-profit accounting or fund-based accounting.
- Familiarity with donor management systems and grant expense tracking.
- Knowledge of 1099 reporting and audit preparation.
