The Transportation Secretary serves as the central point of coordination for all daily school transportation operations. This position supports radio and phone communications with bus drivers, schedules and dispatches routes, maintains transportation records, and helps ensure safe, timely, and efficient student transportation services. The Transportation Secretary works closely with the Transportation Supervisor and school administrators to provide smooth and effective service to all district schools.

Education and Experience:

  • High school diploma or GED required
  • Prior experience in dispatching, transportation, or logistics preferred (school or municipal setting a plus)
  • Associate’s degree or higher preferred
  • Demonstrated proficiency with office software and communication systems (Google Suite, spreadsheet programs, routing software)
  • Working knowledge of two-way radio communication and dispatch protocols
  • Familiarity with student transportation management systems (such as Transfinder or Edulog) preferred
  • Possession of a valid CDL with School Bus and Passenger endorsements or a willingness to obtain a CDL is preferred, but not required.
  • Ability to make sound, quick decisions under pressure
  • Strong interpersonal and communication skills for working with staff, parents, and the public

Principal Duties and Responsibilities:

  • Serve as a point of contact for bus drivers, school administrators, and families regarding daily transportation needs
  • Assist in dispatching buses for daily routes, field trips, athletic trips, and special events in coordination with the Transportation Supervisor
  • Monitor radio communications and respond promptly to calls for assistance or route changes
  • Maintain route schedules, driver assignments, and student transportation data
  • Communicate schedule changes, delays, and emergencies to affected parties
  • Assist in maintaining driver attendance, route logs, and fuel and mileage records
  • Support coordination of substitute drivers and vehicles
  • Input, update, and verify transportation data in routing or district software
  • Assist with preparing reports, schedules, and correspondence
  • Communicate with drivers regarding weather conditions, student conduct reports, and urgent mechanical concerns
  • Maintain information within the District’s Student Information System (SIS)
  • Serve as a liaison with parents and school offices regarding transportation concerns in a courteous and professional manner
  • Ensure compliance with district policies, safety standards, and state transportation regulations
  • Assist in coordinating maintenance scheduling with garage staff to minimize disruptions
  • Handle confidential student and employee information appropriately
  • Perform other duties as assigned by the Transportation Supervisor or designee
  • Maintain a consistent and reliable on-site work schedule

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

  • Language Skills: Ability to communicate effectively in person, by phone, and over radio systems. Ability to read, interpret, and write transportation-related documents and reports
  • Mathematical Skills: Ability to perform basic math calculations related to mileage, time schedules, and route efficiency.
  • Reasoning Ability: Ability to remain calm and make quick, sound decisions during emergencies. Ability to apply good judgment, prioritize tasks, and manage multiple communications at once
  • Other Skills and Abilities: Excellent organizational and time management skills. Ability to work under pressure and handle frequent interruptions. Strong customer service orientation and professional demeanor. Ability to work independently and collaboratively. Familiarity with local geography and district boundaries

Physical Demand: The physical demands described here are representative of those that must be met by an employee to successfully While performing the duties of this job, the employee is frequently required to sit, use hands for data entry, and listen and speak over two-way radio and telephone systems. The employee may occasionally move about the office or bus garage and must occasionally lift or move up to 25 pounds. Vision requirements include close vision and the ability to read maps, schedules, and digital screens for extended periods.

Work Environment: This position operates primarily in an office within the Transportation Department or bus garage. The employee may be exposed to varying weather conditions and moderate noise levels from vehicle operations. The role requires the ability to handle occasional stressful or emergency situations.

FLSA Status: This is a Non-Exempt FLSA position. Non-Exempt employees are eligible for overtime pay under the Fair Labor Standards Act.

Additional Information:

  • Compensation and Benefits: Competitive salary and benefits package.
  • Schedule: Monday–Friday, 8:00 AM–4:30 PM. This position generally follows the TRCS Academic Calendar, extending two weeks after the last scheduled student day and five weeks prior to the first scheduled student day. The schedule includes non-working days during winter, spring, and summer breaks, as well as designated holidays.
