Position Overview
The Laboratory Operations Coordinator will serve as the operational backbone of our newly establishing Nashville facility. This role is responsible for overseeing daily logistics, front-end administrative functions, comprehensive supply chain management, and inventory control. The ideal candidate is an exceptionally organized, detail-oriented professional who thrives in a fast-paced environment and ensures that our scientific staff has the materials, equipment, and structural support necessary to conduct seamless daily operations.
Key Responsibilities
1. Supply Chain & Procurement Collaboration
- Continuously monitor on-hand stock levels of laboratory consumables, reagents, personal protective equipment (PPE), and general office supplies to proactively prevent operational shortages.
- Partner directly with the Procurement Manager by flagging low stock, generating internal purchase requisitions, and tracking delivery timelines once orders are placed.
- Act as the primary on-site contact for couriers and delivery personnel. Inspect all incoming shipments, verify contents against purchase orders, and immediately report damages, shortages, or backorder issues to the Procurement Manager for vendor resolution.
- Maintain organized local files on vendor communication, delivery timelines, and performance metrics to assist the Procurement Manager during periodic vendor evaluation and pricing reviews.
2. Receiving & Inventory Control
- Oversee the central receiving area; physically unbox, verify, and log all incoming shipments against packing slips and purchase orders.
- Inspect shipments of temperature-sensitive materials (cold-chain) and ensure immediate, appropriate storage (e.g., placing items in minus 20 degree or minus 80 degree freezers) according to manufacturer specifications.
- Maintain and update the digital inventory management system, including tracking lot numbers, expiration dates, and Safety Data Sheets (SDS).
- Label and distribute incoming supplies to designated laboratory storage locations.
3. Daily Facility & Equipment Operations
- Serve as the primary on-site point of contact for the contracted commercial cleaning company. Monitor daily adherence to the Scope of Work (SOW), conduct routine walkthroughs of non-technical common areas, and escalate any service quality issues directly to the vendor.
- Oversee the scheduling of routine preventative maintenance, certified calibrations, and emergency repairs for all laboratory equipment. Coordinate directly with external service technicians to minimize downtime.
- Maintain meticulous, centralized operational records, equipment logs, calibration certificates, and active third-party service contracts to ensure the facility is continuously audit-ready.
- Partner with management to regularly review, update, and enforce facility-related Standard Operating Procedures (SOPs) to optimize workflows and maintain strict regulatory compliance.
4. Operational Agility & Special Projects
- Contribute to miscellaneous start-up initiatives, facility setup tasks, and other operational duties as assigned by leadership.
- As our laboratory facility continues to scale and evolve, this role requires a high degree of flexibility, a growth mindset, and a willingness to lean into newly developing workflows as business needs change.
5. Administrative Support
- Manage general office operations, including processing mail, welcoming visitors, and answering operational inquiries.
- Assist leadership with basic budget tracking, invoice reconciliation, and preparing operational expense reports.
- Ensure all regulatory, compliance, and safety documentation is organized and easily accessible for potential audits.
Qualifications & Skills Required
- Experience: 2 years of experience in an administrative coordination, logistics, inventory management, or warehouse operations role (laboratory or biotech environment preferred but not required).
- High School Diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration, Supply Chain Logistics, or a related field is preferred.
- Proficiency with inventory management software, procurement systems, and the Microsoft Office Suite (particularly Excel).
- Ability to lift up to 40 lbs. regularly, unbox large shipments, and remain on your feet for extended portions of the workday.
- Exceptional organizational skills, high attention to detail, strong verbal and written communication skills, and a strong sense of autonomy.
