Schedule: Part-Time, Tuesday–Thursday, 8:00 AM – 12:00 PM (Range)

Overview

We are seeking a motivated and detail-oriented Office Assistant to join our team. This role is a blend of administrative support, patient intake coordination, and billing assistance. The ideal candidate will help keep our office running smoothly while providing excellent service to patients, clients, and healthcare partners.

Responsibilities

  • Assist with follow ups on insurance/claims to ensure timely payment
  • Support intake processes, including patient coordination and onboarding
  • Create and maintain patient folders (both electronic and physical)
  • Manage daily office operations and maintain efficient workflow
  • Serve as a point of contact for patients, clients, and doctors’ offices
  • Answer and route phone calls, take messages, and respond to inquiries
  • Perform accurate data entry and maintain organized records
  • Assist with scheduling and general medical reception duties
  • Utilize Google Suite for documentation, tracking, and communication
  • Support onboarding of new staff as needed
  • Collaborate with team members to ensure smooth office operations

Qualifications

  • Previous administrative or office assistant experience preferred
  • Experience in healthcare or medical office settings is a plus
  • Basic knowledge of medical billing, insurance claims, or accounts receivable is highly preferred
  • Strong organizational and multitasking skills
  • Excellent customer service and communication abilities
  • Proficiency in Google Suite and Microsoft Office
  • Comfortable with data entry and maintaining accurate records
  • Bilingual (English/Spanish) is a plus

Pay: $22.00 - $25.00 per hour
