Job Description Summary
The Finance Administrator oversees and manages the organization’s financial operations with a focus on general accounting, revenue cycle management (RCM), accounts payable (AP), accounts receivable (AR), budgeting, and the general fiscal health of the organization. This position is full-time and salaried, non-union due to confidential designation, and may be fully in person, hybrid, or fully remote (must be based in Massachusetts). The Finance Administrator reports directly to the Chief Operating Officer (COO).
Objectives and Responsiblities
- General Accounting & Budgeting: Ensure consistent accounting practices adhering to accrual based GAAP, non-profit, healthcare standards while monitoring and achieving budget goals; provide accurate and timely reconciliations; monitor year-end projections and weekly cash flow; work with COO on organizational budgeting strategy
- Accounts Receivable: Oversee revenue cycle management and contractual relationship with our external billing company, working closely with them to report accurately on clinical performance, and providing necessary input to the operations and clinical teams for process improvement; review billing reports for accuracy, create monthly AR entries, and provide KPI reporting
- Accounts Payable: Oversee accounts payable, ensuring accurate financial data entry, timely vendor payment, and cash management; manage vendor tax status and generation of 1099s
- Grant-Related Bookkeeping: Ensure proper fiscal reporting of grants, where applicable, working closely with the development team
- Financial Analysis & Reporting: Conduct thorough financial analysis and prepare monthly reports, identifying areas for financial growth and improvement; prepare confidential financial analyses and projections; work with senior leaders to guide financial decisions including labor relations and collective bargaining
- Fiscal Planning: Develop plans to enhance financial performance and organizational sustainability
- Compliance & Process Improvement: Ensure robust fiscal compliance across the organization, while continuously evaluating and improving financial processes for enhanced efficiency and accuracy; work with external auditors on yearly financial and tax statements
- Fiscal Support: Work closely with Human Resources to maintain confidential financial and personnel data related to compensation, staffing, and bargaining strategies; cross check bi-weekly payroll, acting as backup administrator when needed
- Clear and Relational Approach: Build and maintain strong relationships with internal teams and external vendors; provide clear, effective communication and support to ensure financial transparency and understanding
- Other duties as assigned
Qualifications and Experience
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
- Minimum of 3 years of experience in finance, accounting, or fiscal operations.
- Experience with GAAP and nonprofit or healthcare financial practices, and managing AP/AR.
- Proven experience preparing financial reports and analysis, budgets, report preparation, fiscal grant management, and audit materials.
- Proficiency with accounting software (e.g., QuickBooks, Sage Intacct, or similar) and Microsoft Excel.
- Experience with financial reporting in electronic health records (EHR), specifically Epic, preferred
- Strong analytical, organizational, and problem-solving abilities.
- Excellent verbal and written communication skills, with a team-oriented mindset.
Preferred Qualifications
- Master’s degree in Accounting, Finance, Public Administration, or related field.
- CPA, CMA, or relevant professional certification.
- Experience in community health centers, FQHCs, or nonprofit healthcare environments.
- Familiarity with grant accounting, Uniform Guidance, and federal/state funding mechanisms.
- Experience leading or mentoring staff in accounting or finance functions.
Required Knowledge, Skills and Abilities
- Strong knowledge of GAAP, financial reporting, and compliance requirements.
- Ability to develop and monitor budgets and analyze financial performance.
- Exceptional attention to detail and accuracy.
- Strong communication skills, including the ability to explain financial concepts to non-financial staff.
- Ability to manage multiple deadlines and priorities.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Proficiency in financial modeling, forecasting, and data analysis.
- Strong teamwork and independent-work capabilities.
