This role supports all West Virginia clinic locations as part of a regional interventional psychiatry team and is physically based in our Morgantown office. These team members are organized, dependable, and effective communicators who collaborate across clinics and teams.

Key Responsibilities
- Contact established patients across WV clinics to schedule TMS evaluations and coordinate next steps
- Monitor and update patient referrals and statuses in the NeuroStar TrakStar platform throughout the day
- Submit and track insurance verification of benefits (VOB) for TMS treatment; complete phone-based VOBs when needed
- Upload VOB documentation to patient records and complete cost analyses based on coverage results
- Communicate with patients regarding insurance coverage, financial responsibility, and payment plan options
- Forward eligible new patients to the Central Intake Team for intake scheduling
- Administer TMS treatments and perform psychiatric rating scales when applicable, documenting outcomes and reporting concerns
- Schedule and manage appointments, assist with intake preparation, and document client information accurately
- Answer and manage calls routed to the TMS phone line, monitor voicemail, and respond to emails
- Maintain referral tracking using the Microsoft Tracker application
- Attend regular meetings with clinic teams, leadership, and interventional partners
- Collaborate with interventional psychiatry vendors and provide regional coverage support as needed
- Complete required training through the Relias platform and perform additional duties as assigned
- High School Diploma or GED
- Associate or Bachelor’s Degree (Preferred)
- 1 year of medical office or healthcare experience (Preferred)
- Medical Assistant experience (Preferred)
- Knowledge of medical authorizations and insurance verification (Preferred)
- Knowledge of medical terminology and HIPAA compliance
- CPR Certified (or willing to obtain certification)
