Role Description
This is a full-time on-site role for an Executive Assistant located in New Orleans, LA. The Executive Assistant will be responsible for providing executive administrative assistance, assisting with preparing client status reports, offering executive support, offering general office support and maintaining clear communication channels within the organization.
Key Responsibilities
- Calendar and Scheduling
- Manage complex calendars; schedule internal/external meetings across time zones.
- Proactively resolve conflicts and ensure executives are briefed with agendas and materials.
-Communication and Coordination
- Serve as a professional point of contact; draft and edit emails, memos, and presentations.
- Coordinate cross-functional requests; track follow-ups and deadlines to closure.
-Meeting Support
- Prepare agendas, assemble briefing documents, and capture action items.
- Arrange logistics (rooms, A/V, virtual links) and ensure timely distribution of materials.
-Travel and Expenses
- Coordinate domestic and international travel, itineraries, and changes.
- Process expense reports accurately and on time; maintain related records.
-Document and Data Management
- Maintain organized digital files; update contact lists, org charts, and distribution lists.
- Create and format slides, spreadsheets, and reports with high attention to detail.
-Operations and Special Projects
- Support onboarding/offboarding tasks; order supplies and manage vendors as needed.
- Office support including filing, scanning, coordinating service vendors for on-site maintenance.
- Assist with ad hoc projects, research, and event coordination.
-Confidentiality and Judgment
- Handle sensitive information with discretion and maintain professional standards at all times.
Qualifications
- 0–2 years of administrative or coordination experience; internship or campus leadership experience is a plus.
- Bachelor’s degree preferred, or equivalent experience.
- Proficiency in Google Workspace or Microsoft 365 (Gmail/Outlook, Calendar, Docs/Word, Sheets/Excel, Slides/PowerPoint).
- Strong written and verbal communication skills; polished professional demeanor.
- Exceptional organization, accuracy, and time management in a fast-paced environment.
- Ability to prioritize, anticipate needs, and solve problems with minimal supervision.
- High integrity and discretion with confidential information.
Preferred Skills (Nice to Have)
- Experience supporting executives or senior leaders.
- Familiarity with case management tools (e.g., Clio, Filevine).
- Basic data analysis and presentation skills.
- Comfort working across time zones and with remote teams.

Salary
- The base pay range for this role is $16-$19 per hour. Actual compensation will be based on skills and experience.
