Position Overview
We are seeking a detail-oriented Construction/Real Estate Project Coordinator to support project management and administrative functions for our development and construction operations. This role serves as a vital link between project teams, clients, subcontractors, and management, ensuring smooth project execution through effective documentation, coordination, and communication.
Key Responsibilities
Project Documentation & Administration
- Prepare, maintain, and distribute project documentation including contracts, change orders, submittals, RFIs (Requests for Information), and meeting minutes
- Manage project filing systems, both physical and digital, ensuring all documents are current, organized, and accessible
- Track project correspondence and maintain accurate records of all project-related communications
- Process and track submittals, shop drawings, and product data through approval workflows
Financial & Contract Support
- Assist with preparation of progress payment applications, invoices, purchase orders and supporting documentation
- Track and process subcontractor and vendor invoices, ensuring proper coding and approval routing
- Maintain budget tracking spreadsheets and provide regular cost reports to project managers
Coordination & Communication
- Schedule and coordinate project meetings, site visits, and inspections
- Serve as primary point of contact for routine project inquiries from subcontractors, vendors, and clients
- Distribute meeting agendas, and project updates to relevant stakeholders
- Coordinate with permitting agencies and track COA applications, permit status and other applications required.
Compliance & Quality Control
- Ensure compliance with company procedures, safety protocols, and regulatory requirements
- Maintain insurance certificates, bonds, and licensing documentation for all project participants
- Track project closeout requirements including warranties, as-builts, and operations manuals
- Assist with preparation of project closeout documentation and final deliverables
Qualifications
Required:
- Associate's degree in Construction Management, Business Administration, or related field, or equivalent experience
- 2-3 years of administrative experience in construction or related industry
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Strong organizational skills with ability to manage multiple priorities simultaneously
- Excellent written and verbal communication skills
- Understanding of construction terminology, processes, and documentation
Preferred:
- Experience with construction management or real estate software (Procore, PlanGrid, Bluebeam, or similar)
- Familiarity with city codes and permit processes
