Position Overview
Trade-Mark Industrial is seeking an Office Administrator to support daily operations at our Kentucky office.
This role focuses on general office support, organization, and administrative coordination to ensure smooth day-to-day operations. The successful candidate will assist with documentation and basic administrative processes, helping keep the office running efficiently.
This position is best suited for someone who is organized, dependable, and comfortable handling a variety of administrative tasks.
A high level of reliability, consistency, and attention to detail is required.
Trade-Mark operates in a service-driven industrial environment where priorities can shift quickly based on field conditions and client needs. The successful candidate must be able to adapt, re-prioritize tasks efficiently, and respond to changing demands without losing organization or accuracy.
This position will report directly to the Area Manager.
Key Responsibilities
· Provide general office administrative support to the Kentucky operations team
· Maintain and organize digital and physical filing systems
· Assist with timesheet collection and submission
· Support data entry and document preparation (Word, Excel, PDFs)
· Assist with scheduling meetings and coordinating calendars
· Help track and organize incoming documents, invoices, and receipts
· Support basic purchase and material documentation
· Maintain office supplies and coordinate general office needs
· Assist with onboarding paperwork and general employee documentation
· Receive and organize deliveries, ensuring materials and packages are properly handled and documented
· Make local deliveries and pickups as required to support operations
· Coordinate fleet servicing and vehicle licensing, including scheduling maintenance and tracking renewals
· Perform other administrative duties as required to support the team
Qualifications
· Previous experience in office administration or clerical support preferred
· Strong organizational and time management skills
· Proficient in Microsoft Office (Excel, Word, Outlook, Teams)
· Comfortable working in a fast-paced environment with changing priorities
· Strong attention to detail
· Good communication and interpersonal skills
· Ability to work independently and as part of a team
· Ability to adapt to changing priorities and manage multiple tasks efficiently in a fast-paced, service-driven environment
· Valid driver’s license required
· Comfortable performing occasional local driving for deliveries and errands
